Full-Time • On-site • Compensation: $75,000–$85,000, commensurate with experience

About the Role

We're looking for a highly capable, trustworthy Office Administrator to oversee day-to-day operations and ensure the organization runs smoothly. Primary responsibilities include HR support, accounting coordination, vendor management, compliance, and direct support to executive leadership.

This is a broad, high-trust role by design. In a lean, mission-driven organization, the Office Administrator often becomes the right hand of the CFO/COO and CEO — the person who understands how every part of the operation fits together. It rewards someone who wants breadth of responsibility now and a real path toward operations leadership over time.

Note: this role generally does not carry unilateral authority over hiring, firing, compensation, or disciplinary decisions unless that authority is specifically delegated by leadership.

What You'll Do

Office Administration

•     Oversee day-to-day office operations and establish clear procedures and workflows

•     Create and maintain standard operating procedures

•     Manage office supplies, equipment, furniture, and facilities

•     Coordinate repairs, maintenance, vendors, and building management

•     Manage incoming mail, deliveries, and general correspondence

•     Maintain office calendars, coordinate meetings, and keep records and administrative files in order


Personnel Support

•     Coordinate hiring, onboarding, and offboarding, and maintain personnel files

•     Track vacation, sick time, holidays, and other leave

•     Administer employee benefits and coordinate with benefit providers

•     Help implement employee policies, coordinate performance reviews, and answer staff questions about policies, benefits, and payroll

•     Help ensure compliance with employment laws and maintain required employment postings and records


Accounting Administration

•     Process or oversee accounts payable and receivable, invoices, deposits, and expense tracking

•     Reconcile credit-card statements and other accounts, and prepare information for the CPA/bookkeeper

•     Manage purchasing and vendor relationships and monitor the office budget

•     Prepare financial reports for management and coordinate payroll with an outside provider or accounting team


Technology & Information Management

•     Coordinate relationships with IT vendors and employee computer/equipment purchases

•     Manage software subscriptions, licenses, and office technology policies

•     Ensure employees have appropriate system access and coordinate cybersecurity training

•     Manage document storage, records-management procedures, and backup/disaster-recovery coordination

•     Serve as the person who makes sure IT issues get addressed — even when an outside provider does the technical work


Vendor & Contract Management

•     Select and coordinate vendors, obtain quotes, and negotiate pricing when appropriate

•     Maintain vendor contracts and monitor service agreements —IT, telecom, insurance, and more

•     Review vendor invoices and ensure contracts and subscriptions are renewed or terminated appropriately


Compliance & Risk Management

•     Coordinate business licenses, registrations, and insurance policy renewals

•     Support workers' compensation matters, employment-law compliance, and required governmental filings

•     Maintain privacy, data-security, and document-retention procedures

•     Support workplace safety, emergency preparedness, and cybersecurity/breach-response planning

•     Coordinate administrative aspects of state registrations and professional licensing across FPM's operating states (CA, OH, NC, AZ, and others)


Executive & Management Support

•     Help with management projects, reports, and tracking key deadlines

•     Schedule management meetings and prepare agendas, materials, and minutes

•     Help implement management decisions and coordinate communication across the organization

•     Support annual budgeting and help monitor progress toward organizational goals

•     Serve as a trusted liaison between management and staff


Employee Communication & Office Culture

•     Be the person staff can turn to with everyday questions — who handles what, how reimbursements work, when benefits start, who to call about a computer issue

•     Help shape a well-run, respectful, and functional office culture as FPM's central administrative point of contact


You'll Be a Strong Fit If You

•     Have 3+ years of office management, operations, HR, or accounting-support experience

•     Are comfortable holding real responsibility across many domains — HR, finance, facilities, technology, and compliance — without needing constant direction

•     Exercise excellent judgment and discretion with confidential personnel and financial information

•     Are proactive: you notice what needs to happen before you're asked

•     Communicate clearly and diplomatically with everyone from new hires to the CEO

•     Are comfortable with ambiguity and enjoy building or improving a process rather than just following one

•     Are proficient with Google Workspace, Microsoft Office, and general office/HR/accounting software
