The Operations Support Specialist works closely with the Senior Operations Support Specialist to ensure all administrative and basic operational tasks are completed with excellent attention to detail and a high level of efficiency. You will support Senior Operations Support Specialist in completing tasks, and activities to ensure the day-to-day needs of team members are anticipated and met.
Essential Job Duties
Learning (15%)
- Participate in professional development and learning activities to continuously improve communication, organization, and writing skills
- Read and reflect on agency readings; connect readings to short- and long-term goals for team and agency
- Participate in agency team meetings, professional development check-ins, and other internal meetings, as needed
- Maintain a high level of organization for print and digital files and materials
Office Operations and Bookkeeping Support (85%)
- Maintain positive and professional staff and client relationships; welcome and greet clients and office guests
- Answer phones in a professional manner and direct calls to appropriate persons or take detailed messages
- Assist Senior Operations Support Specialist and leadership team with general operational tasks
- Assist with planning and scheduling meetings, presentations, and other office-related events; sending reminders regarding upcoming appointments
- Assist with managing communication of information in and out of the office; drafting correspondence letters, emails, memos, etc., as needed and requested
- Manage shipping, postage, and delivery for internal and client projects, including organizing mail, preparing shipments, and arranging pick-ups/drop-offs
- Ensure the office is kept clean and organized at all times
- Use Teamwork project management software to organize internal projects, schedule tasks, and communicate with team members
- Draft detailed notes and action items for internal meetings and send internal and external follow-up emails to ensure deadlines are met
- Assist with the purchasing, delivery, and organization of office supplies and materials
- Assist Senior Operations Support Specialist with basic bookkeeping tasks, (like scanning receipts, checks, invoices)
- Contact clients about aging accounts receivable
