An Event Captain is the primary point of contact on site, you'll lead and supervise the service team, keep the event on time, and coordinate closely with the kitchen, vendors, and venue from setup through load-out. Key Responsibilities

Pre-Event Preparation

• Review event BEO, timelines, floor plans, and menus
• Double check and confirm all the required information has been received (guest count, floor plans, timeline, menu, dietary restrictions, kids/vendor meals, bar package & specialty drinks)
• Confirm staffing needs and assign staff roles and responsibilities
• Coordinate with vendors, venues, and internal departments
• Conduct pre-event walkthroughs when required

On-Site Event Management

• Serve as the primary point of contact during the event
• Lead pre-shift meeting covering event timeline, service style (plated, family-style, buffet, etc.), allergies & dietary flags, VIPs (couple, parents, special guests), service standards & uniform check
• Lead and supervise event staff during the event (servers, bartenders, chefs, support staff), reassign staff as needed, maintain service standards
• Manage event setup, service flow, and breakdown
• Maintain timelines for cocktail hour, dinner service, speeches, and special moments
• Coordinate with the kitchen on the timeline and ensure the food serve out is consistent, buffets/stations are replenished and clean, plates go out correctly and at proper temperature, serving equipment is correct
• Coordinate with planner/DJ/band and other vendors throughout the event
• Address any issues calmly and discreetly to ensure a smooth guest experience

Client & Guest Experience

• Ensure service style and presentation meet company standards
• Respond to guest needs professionally and efficiently
• Maintain a positive, polished presence throughout the event

Post-Event Responsibilities

• Oversee breakdown and load-out
• Ensure venue policies are followed
• Count and organize rental items & catering equipment; note any missing items, damages or breakage
• Make sure proper staff clock-in/clock-out has been performed
• Complete post-event reports and notes
• Communicate feedback or issues to leadership

 

Qualifications & Skills

• 5+ years in catering, events, and hospitality
• 3+ years in wedding and large-scale event management
• Strong leadership and team management skills
• Excellent communication and problem-solving abilities
• Ability to multitask and remain composed in fast-paced environments
• Strong attention to detail and organization
• Professional appearance and demeanor
• Knowledge of catering service styles
• Experience working with event rentals and venues
• Familiarity with timelines, BEOs, and floor plans

 

Physical and Scheduling Requirements

• Ability to stand and walk for extended periods
• Ability to lift up to 40 lbs when needed
• Flexible schedule based on event needs, including evenings, weekends, and holidays
