The Private Client Advisor is the single relationship owner and primary face of EthicsPro for an assigned portfolio of business-owner and high-net-worth clients. This is not a traditional tax preparation role. The Advisor is focused on building deep, trusted relationships, understands each client's business and financial priorities, and helps clients understand and act on approved tax planning strategies. EthicsPro's technology platform and centralized Prep and Review Hub support strategy development, tax preparation, and technical review. The Advisor reviews client-facing strategy materials before meetings, prepares questions, presents approved strategies in clear and practical language, guides implementation, and knows when technical matters must be escalated. The Advisor is not responsible for preparing tax returns, building strategies from scratch, or independently validating or approving technical tax conclusions. The Private Client Advisor leads a two-person client team with a dedicated Client Admin and owns the full client engagement cadence, including onboarding, Tax Planning Kickoff meetings, Implementation Calls, Quarterly Business Reviews, and proactive year-round communication. Success means clients feel known and well served, clearly understand their tax position and next steps, complete the actions required to implement their strategies, remain engaged with EthicsPro, and confidently refer other business owners who could benefit from the firm's services.

KEY RESPONSIBILITIES:

Client Relationship Ownership

  • Own the full client relationship from onboarding through ongoing annual advisory and serve as the primary point of contact for an assigned portfolio of approximately 80 to 85 clients.
  • Build deep, trusted relationships with business owners and high-net-worth individuals who expect a high-touch, proactive experience.
  • Develop a strong understanding of each client's business, financial priorities, tax strategies, communication preferences, and concerns.
  • Proactively anticipate client needs, questions, and potential service issues rather than waiting for the client to initiate contact.
  • Ensure each client understands their current tax position, what has been implemented, what remains outstanding, and what will happen next.
  • Recognize signs of client dissatisfaction, confusion, or disengagement and address or escalate concerns before they affect the relationship.

 

Strategy Presentation and Technical Boundaries

  • Review AI-generated tax strategies and planning packages produced through the Instead platform before each client meeting.
  • Review client-facing materials for completeness, clarity, consistency, and readiness, and compare the information with known client facts, prior commitments, and open items.
  • Identify missing information, inconsistencies, or questions that require technical validation before presenting conclusions to the client.
  • Present approved tax strategies in clear, accessible language and translate complex tax concepts into practical decisions clients can understand and act upon.
  • Handle client questions and objections during strategy discussions, answering within the scope of the role and escalating technical matters to the Prep and Review Hub or appropriate firm leader.
  • Not required to independently develop, validate, approve, or provide tax, legal, investment, or financial advice outside the defined scope of the role.

 

Client Admin Partnership and Implementation Follow-Through

  • Lead the two-person client team and maintain accountability for the quality, consistency, and momentum of the overall client experience.
  • Partner closely with the dedicated Client Admin, with the Advisor owning the relationship and client conversations and the Client Admin supporting scheduling, document collection, meeting documentation, task coordination, and administrative follow-through.
  • Provide the Client Admin with the context, priorities, decisions, and deadlines needed to support each client effectively.
  • Guide clients through the implementation of approved tax strategies, including required documentation, entity setup, assigned actions, and execution timelines.
  • Coordinate with the Prep and Review Hub to support accurate, timely delivery of tax returns, planning packages, and technical work.
  • Track implementation status across the client portfolio and proactively address delayed documents, missed deadlines, unresolved questions, or incomplete action items.

 

Client Meeting Leadership

  • Own the preparation, facilitation, and follow-through for the three primary client touchpoints: Tax Planning Kickoff meetings, Implementation Calls, and Quarterly Business Reviews.
  • Prepare for each meeting by reviewing client information, AI-generated materials, implementation status, previous commitments, open questions, and decisions required from the client or EthicsPro.
  • Develop focused agendas and supporting materials that make each client conversation relevant, understandable, and action-oriented.
  • Lead Tax Planning Kickoff meetings to understand the client's business, establish expectations, clarify goals, and confirm responsibilities and timelines.
  • Lead Implementation Calls that help clients understand what must be completed, who is responsible, and when each step must occur.
  • Lead Quarterly Business Reviews that connect strategy progress to the client's business priorities, surface changes or risks, and confirm decisions and next steps.
  • Document decisions, commitments, assigned responsibilities, and deadlines, provide timely follow-up communication, and ensure action items are completed.

 

Retention and Growth

  • Drive client retention through exceptional service, proactive communication, demonstrated value, and consistent follow-through.
  • Identify new planning opportunities or changes in a client's business that may create a need for additional EthicsPro services and surface those opportunities to firm leadership.
  • Generate referrals through trusted relationships and appropriately ask satisfied clients for introductions to other business owners who may benefit from EthicsPro.
  • Participate in onboarding calls and client transitions as the firm grows and portfolio assignments change.

 

Client Service and Operational Excellence

  • Maintain complete and accurate client notes, meeting records, action items, decisions, and communications within EthicsPro systems.
  • Ensure client requests are acknowledged promptly, assigned appropriately, and followed through to resolution.
  • Use EthicsPro's CRM, Instead platform, and standardized workflows to maintain visibility into client commitments, strategy status, implementation progress, and retention risks.
  • Identify opportunities to improve client communication, team workflows, meeting preparation, and the overall advisory experience.
  • Protect confidential client, tax, financial, and business information at all times.

QUALIFICATIONS:

  • Three or more years of experience in a client-facing role in financial services, wealth management, insurance, advisory sales, or a related professional-services environment.
  • Demonstrated success managing, retaining, and growing an ongoing book or portfolio of client relationships.
  • Strong financial literacy and intellectual curiosity, with the ability to confidently lead conversations about money and sophisticated financial strategies.
  • Exceptional verbal and written communication skills and the ability to present complex information to sophisticated clients in clear, practical language.
  • Strong executive presence and the confidence to lead meetings, manage expectations, ask thoughtful questions, and navigate sensitive or challenging conversations professionally.
  • Strong organizational and portfolio-management skills, with the ability to manage a high volume of client relationships, meetings, deadlines, deliverables, and follow-up items.
  • A consistent record of ownership and follow-through without requiring frequent reminders or day-to-day supervision.
  • Sound judgment and the discipline to recognize when a question should be answered directly and when technical validation or leadership involvement is required.
  • A coachable, low-ego approach and a strong focus on client outcomes, collaboration, and continuous improvement.
  • Comfort learning and using new technology, including CRM systems, AI-enabled platforms, project-management tools, Microsoft Office, and other business systems.
  • Located in the United States and authorized to work without employment sponsorship.
  • Ability to work consistently from 9:00 a.m. to 6:00 p.m. Mountain Time.

 

PREFERRED QUALIFICATIONS:

  • Relationship-management experience in wealth management, private banking, commercial banking, insurance, employee benefits consulting, financial planning, or a similar advisory environment.
  • Experience presenting financial strategies, investment recommendations, planning solutions, or other complex concepts to clients.
  • Experience working with business owners and an understanding of the financial and operational concerns they commonly face.
  • Experience leading Quarterly Business Reviews, annual planning meetings, implementation discussions, or other structured client-review processes.
  • Experience using CRM or practice-management software and working in a technology-enabled or AI-supported service model.
  • Familiarity with tax planning, accounting, financial planning, or business advisory concepts is helpful, but a CPA or EA credential, tax preparation experience, and deep technical tax knowledge are not required.
