Encounter Wellness Mental Health Services (EWMHS) is seeking an experienced, compassionate, and highly organized Medical Assistant to support our growing outpatient psychiatric practice.

The Medical Assistant serves as a vital member of our clinical team by supporting patient care, maintaining efficient clinic operations, enhancing the patient experience, and helping providers deliver exceptional care.
· Deliver exceptional patient-centered care.
· Support safe and efficient Spravato® treatment operations.
· Maintain provider productivity and clinic flow.
· Ensure accurate clinical documentation and compliance.
· Improve patient satisfaction and engagement.
· Support patient retention and referral growth.
· Contribute to the overall success and growth of EWMHS.
· Part-time hourly position averaging approximately 20 hours per week.
· Reports directly to Cassandra Hazelrig, DNP, PMHNP-BC, Founder & CEO.
· Works with psychiatric providers, patients, families, administrative staff, insurance companies, pharmacies, referral partners, and community organizations.
· Optional after-hours phone coverage available for additional compensation.
· Private outpatient psychiatric practice located in West Chester, Ohio.

· Clinical Support: vital signs, medication reconciliation, Spravato preparation and monitoring, injections, specimen collection, blood draws, room preparation, inventory management.
· Administrative Support: scheduling, insurance verification, AdvancedMD documentation, prior authorizations, refill requests, referrals, EHR management.
· Patient Education: medication education, treatment plans, resources, follow-up recommendations.
· Marketing & Patient Engagement: surveys, referral follow-up, post-visit calls, newsletters, outreach events.
· After-Hours Coverage: patient calls, escalation, Weave and EHR documentation.
· Team Collaboration: meetings, quality improvement, continuing education.
· Maintain accurate timekeeping.
· Demonstrate AdvancedMD proficiency.
· Maintain HIPAA compliance.
· Stay current on protocols.
· Support clinic flow and provider schedules.
· Represent EWMHS professionally.

· Certified Medical Assistant (CMA) preferred.
· Minimum two years of healthcare experience preferred.
· Behavioral health or psychiatric experience preferred.
· Strong communication, organization, and customer service skills.
· Knowledge of HIPAA requirements.
· Experience with AdvancedMD preferred.
· Reliable transportation.
· Computer proficiency.
· Experience with electronic health records.
· Microsoft Office and Google Workspace.
· Smartphone for work-related communication.
· Ability to stand for extended periods.
· Ability to lift up to 25 pounds.
· Manual dexterity to operate medical equipment and computer systems.

· Approximately 20 hours per week
· Optional $50 weekly after-hours phone coverage stipend
· 32 hours of combined Paid Time Off (PTO) annually for personal time and holidays, accrued each pay period based on a 20-hour work week.
