Position Overview
The PI Clinical Care Coordinator supports the Personal Injury division by managing lien creation, documentation accuracy, and patient scheduling workflows. This role ensures liens are filed correctly and on time, supports legal and provider partners with documentation needs, and coordinates patient scheduling, paperwork, and testing workflows. The Coordinator plays a critical role in case activation, compliance, and operational readiness.
Key Responsibilities
Strategic & Operational Responsibilities
- Create required liens for new cases and coordinate with Dar Liens to submit patient and county liens
- Ensure lien documents are completed accurately and submitted within required timelines
- Verify case details, patient information, and provider data prior to filing
- Confirm lien acceptance/recording and update internal systems accordingly
- Submit lien releases, amendments, or corrections as needed
Relationship Management
- Coordinate with Case Managers to ensure lien filing aligns with case timelines
- Serve as an internal subject‑matter expert on lien requirements and documentation workflows
- Provide updates, answer questions, and ensure clients and providers feel supported
Service / Program Support
- Coordinate appointments, follow‑ups, and schedules with patients and providers
- Ensure patients and providers feel informed, supported, and valued throughout their case
- Send new case paperwork and testing materials to patients and upload to the platform
- Reach out to new patients within 24 hours to schedule intake sessions
- Follow up with patients to ensure paperwork is completed and uploaded
- Reschedule patient appointments due to no‑shows or cancellations
- Escalate non‑responsive patients to Case Managers
Administrative & Reporting
- Maintain accurate lien data and documentation in the platform
- Maintain organized, audit‑ready digital records of all lien filings and confirmations
- Input patient information into testing platforms and send testing materials
- Monitor completion of required patient testing
- Upload and track testing results in the platform
- Complete each encounter within 24 hours of provider completing notes
Compliance & Quality Assurance
- Ensure lien filings meet jurisdictional requirements and deadlines
- Maintain accurate, compliant documentation for legal and billing purposes
- Support subpoena responses and documentation retrieval as needed
- Ensure all scheduling and documentation workflows meet internal and external compliance standards
Continuous Improvement & Process Optimization
- Identify opportunities to streamline lien workflows and reduce manual effort
- Recommend improvements to scheduling, documentation, and case activation processes
- Support development of SOPs, templates, and checklists for lien and scheduling workflows
Team Leadership & Development
- Support Case Managers with accurate, timely documentation
- Provide feedback on recurring issues, delays, or process gaps
- Contribute to a culture of accuracy, responsiveness, and operational excellence
Qualifications
Required
- 1+ years experience in personal injury operations, medical scheduling, or legal documentation
- Strong attention to detail and accuracy in documentation
- Ability to manage high‑volume workflows and deadlines
- Strong communication and customer service skills
- Ability to coordinate across legal, clinical, and administrative teams
- Bilingual/Fluent in Spanish and English
Preferred
- Experience with lien filing, county recording, or PI case workflows
- Familiarity with medical‑legal documentation and subpoena processes
- Experience with scheduling platforms or case management systems
