ADMINISTRATIVE SPECIALIST

New Cumberland, PA

 

The Emergency Health Services Federation, Inc. is the Regional EMS Council for South Central Pennsylvania providing oversight of the emergency medical service system and public heath activities for over two million citizens. We are currently seeking an Administrative Specialist. This individual will be integral part of our organization supporting our leadership with administrative and financial tasks related to the furtherance of EMS and public health. Upon completion of training, this position is primarily office-based and may require occasional attendance at board meetings or other organizational events. Opportunities for remote work with this position are limited and based upon the case-by-case approval of EHSF leadership

 

Primary Responsibilities

1.      Greeting visitors and those with scheduled appointments. Answer the telephone and assist callers as appropriate.

2.      Monitors various Council e-mail accounts and provides direction for inquiries, forwarding as appropriate.

3.      Assists with general correspondence, duplication and preparation of mailings.

4.      Assist with data entry, invoicing, and basic bookkeeping tasks.

5.      Prepare outgoing mail and maintains the postage machine.

6.      Opens and distributes all incoming mail and packages to appropriate staff.

7.      Maintain filing systems, databases and office records.

8.      Maintains and updates equipment inventory.

9.      Manage and order office supplies.

10.    Support special projects and administrative initiatives.

 

Knowledge/Skills/Abilities for Position

1.      Education Required

a.      High school diploma or equivalent

b.      Certification as an Emergency Medical Responder or higher

2.      Education Recommended

a.      Associates degree or at least 30 college credits.

3.      Experience Required:

a.      1 year of administrative support experience

4.      Experience Recommended:

a.      3 years of office experience as receptionist or administrative assistant

b.      Prior experience with MS Office Suite

c.      Prior experience with EMS registry

d.      Foundational understanding of EMS system operations
