Position Summary
The position provides administrative support for CODA Alternative Funeral & Cremation and Compassionate Cremation Society front office operations while delivering exceptional service to the families we serve.
Essential Duties
- Serve as one of the primary points of contact for families, visitors, and vendors; Greeting everyone with warmth, patience, and professionalism at all times, while also maintaining confidentiality.
- Answer and route incoming phone calls with professionalism, empathy, and clarity.
- Provide location coverage during breaks, time off, or when additional support is needed.
- Assist with location readiness, maintaining a clean, welcoming environment for families.
- Prepare materials for courier/errand runner pickups and deliveries as needed.
- Process death certificates, affidavits, corrections, burial permits, and authorizations in compliance with Washington State regulations.
- Carefully track vital records and maintain communication with counties/state agencies.
- Release cremated remains, certified copies, and documented personal property following identification and signature protocols.
- Ensure accurate recordkeeping and follow internal procedures to maintain industry and workplace compliance.
- Support daily office functions such as scanning, data entry, copying, filing, mail, and preparing documents.
- Maintain accurate digital records using standard naming conventions and established workflows.
- Assist with case intake in Passare, including entering and verifying case information and supporting documentation in accordance with established workflows.
- Assist with scheduling for families and funeral directors as needed.
- Maintain obituaries on the company website and applicable social media sites.
- Use Microsoft Office Suite for document creation, communication, documentation, and file management.
- Communicate effectively with internal staff through company used platforms.
- Flexibility and adaptability is a key component to each day.
- Collaborate with the Location Manager and other team members for task support, project assistance, and process improvements.
Physical Requirements
• Ability to sit for extended periods of time while working at a computer.
• May be required to lift up to 25 pounds for document or supply management.
• Ability to follow all departmental safety practices, protocols, and regulatory standards.
Certifications
• High school diploma or equivalent.
• Must possess and maintain a valid driver’s license.
• Must meet organizational and insurance‑carrier driving record standards.
• Must successfully pass a background check.
• Must be able to obtain and maintain applicable Health Department authorization.
• Must possess a compatible smartphone capable of supporting required applications and communication tools.
• Must be able to read, write, and communicate effectively in English to perform essential job functions.
Work Environment
The work environment for this position is in an office setting; remote work may be permitted as needed with approval. Extended view of computer screens.
