Job Summary
The Office Manager will oversee all aspects of practice management, including personnel, financials, patient communication, scheduling, billing, and project coordination. This role is pivotal to the practice's smooth and efficient operation, enabling our doctors to focus fully on patient care. The ideal candidate will have strong leadership, organizational, and communication skills, and will treat the management of the practice as if it were their own.
Key Responsibilities
Personnel Management
- Hire, train, evaluate, counsel, and discipline employees as needed.
- Resolve personnel conflicts and manage employee relations.
- Maintain personnel records, including OSHA training and annual reviews.
- Supervise bi-weekly payroll and manage IRS filings, UTC reports, and W-2 preparation.
- Coordinate provider and staff schedules, including vacation and holiday requests.
- Manage employee compensation and benefits packages.
Accounting and Financial Management
- Oversee accounts receivable, billing, collections, and EOB management.
- Handle routine bookkeeping, including petty cash, patient balances, and account audits.
- Conduct insurance reviews and manage workers’ compensation audits.
- Track and manage overtime expenses.
- Supervise the medical billing team.
General Office Management
- Organize regular staff meetings, workshops, and seminars.
- Handle crisis management, such as equipment failures or staffing shortages, including after-hours support.
- Collaborate with doctors on contract negotiations.
- Oversee HIPAA and OSHA compliance as the designated officer.
- Manage office maintenance, inventory, and vendor relations.
Project Management
- Lead office growth initiatives and expansion projects.
- Coordinate office events and oversee new project implementations.
Public Relations and Patient Relations
- Oversee patient practice enrollment, retainer agreements, and conflict resolution.
- Manage patient correspondence and maintain positive patient relations.
Front Desk & Scheduling
- Answer phones, manage appointments, and promote skincare products and treatments.
- Track leads, schedule consultations, and manage records requests.
Technology and IT Management
- Oversee office software systems, including EMR, billing, and scheduling tools.
- Troubleshoot basic IT issues and coordinate with external support as needed.
Marketing and Growth Support
- Assist with patient acquisition, retention initiatives, and in-office promotional events.
- Engage with potential leads via text on the office cell phone.
Requirements
- Proven experience as an Office Manager, preferably in healthcare.
- Strong leadership and team management skills.
- Solid organizational skills with the ability to multitask and prioritize.
- Financial knowledge, preferably in accounts receivable, billing, and bookkeeping.
- Knowledge of healthcare regulations (HIPAA, OSHA is a plus.
- Proficiency in medical office software (EMR, EHR, billing systems) is preferred.
Education & Experience
- Bachelor’s degree in healthcare administration, business, or a related field is preferred.
- 3-5 years as an Office Manager, preferably in healthcare.
- Experience with medical billing and credentialing is beneficial.
Compensation & Benefits
- $60,000 - $70,000 based on experience
- Free in-house healthcare with internal medicine and medical dermatology while employed (excluding lab work, diagnostic testing costs, and cosmetic procedures)
