Key Responsibilities:

  • Executive Support:
  • Manage the Executive Leadership Team’s calendar, scheduling appointments, meetings, and travel.
  • Coordinate and prepare materials for meetings, including agendas, presentations, and reports.
  • Attend key meetings, take minutes, and follow up on action items.
  • Assist in the preparation of executive-level communications, emails, and correspondence.
  • Administrative Management:
  • Act as a point of contact between executives and internal/external stakeholders.
  • Handle confidential information with discretion and professionalism.
  • Manage travel arrangements for the executive team and provide itineraries.
  • Process expense reports, invoices, and other financial documents as required. 
  • Project Management:
  • Support the execution of key projects, tracking timelines and deliverables.
  • Work cross-functionally with other departments to ensure alignment and smooth execution of tasks.
  • Conduct research and compile data to assist with special projects and strategic decisions.
  • Office Management:
  • Oversee office administrative tasks such as supplies management, meeting room bookings, and internal communications.
  • Assist in organizing company events, retreats, and team-building activities. 

Qualifications:

  • Bachelor's degree in business administration, communications, or related field (preferred).
  • 4+ years of experience as an Executive Assistant or in a similar administrative role.
  • Strong proficiency with Google Workspace and other relevant software.
  • Excellent verbal and written communication skills.
  • Proven ability to handle multiple tasks and meet deadlines.
  • Experience managing sensitive information and maintaining confidentiality.
  • Strong organizational and problem-solving skills.

Preferred Skills:

  • Experience working in healthcare, veterinary, or medical services is a plus.
  • Familiarity with project management tools and software.
  • Ability to work independently, as well as collaboratively in a fast-paced environment.

Compensation:

  • $70,000 - $80,000 based on experience
  • Eligible for a bonus plan of ~5%
