FIRST THE MAIN GOAL OF THIS JOB IS TO EFFECTIVELY ASSIST IN IMPLEMENTING NEW SOFTWARE TECHNOLOGY AND STANDARD OPERATING PROCEDURES INTO PRODUCTION 

  • Scheduling of the job transfer meeting 
  • Scheduling the Dispatches for the Service Technicians 
  • sales to operation job transfer meeting and implementation 
  • Project Tracking, Updates, and Reporting 
  • Assist with job planning, schedules 
  • Help with the “What if” plans for Projects 
  • organize notes, photos, videos from techs for customers, and send out customer updates 
  • scheduling of subcontractors, and follow-ups 
  • material ordering and purchase order duties for Projects 
  • Helping to schedule Technician training sessions 
  • Reporting out the budgets and Job costing of each project 
  • Getting Bonuses for Delivering an awesome customer experience 

 

 

LIST CATEGORY OF SKILLS, TASKS, AND/OR ACCOUNTABILITIES: 

 

  • Responsible for Daily Crew and Service Technician Activities 
  • Ensuring Crews and Techs Are Efficiently Assign work daily/weekly.  
  • Sending Estimates or Quotes to Customers based on tech findings,  
  • Managing Dispatches for the Crews and techs, schedule changes, weather delays 
  • Monitor and Verify Purchase orders for projects, change orders, and expenses that are associated to each job are correct and, in the system. 
  • Communicate with Customers on job progress and schedule changes, change orders are processed, and estimates are accepted, and projects are prepared 
  • Prepare the Operational Reports, Financial reports, for Management & Meetings around your specific projects 
  • Assist with Tracking tech hours and Reports, clock in/clock outs/working hours on specific projects and service calls 
  • Organize Office Operations and Procedures, around the dispatching and scheduling in new software. 
  • Organize and Schedule Company Crew and Tech meetings for schedule and project planning 
  • Assist in Scheduling Sales Calls and meetings with current and new customers on future projects 
  • Complaint Management, for both office and Techs 
  • Manage Relationships with Vendors, Subcontractors, with projects 
  • Verify contract Invoices and prices with office manager, Management, vendors, service providers 
  • Job Completion Paperwork, Warranty information, final Invoice signoff paperwork is preppared. 
  • CRM information is Updated, Verified, and issues are reported 
  • GSR is updated Daily and ready for Review by 9 am on Thursdays 
  • Daily and Weekly updates for the General Manager 
  • Remain up to date on technical and professional knowledge by attending educational workshops, training courses, joining professional associations, and reviewing changes to office software. 
  • Assisting in Preparing the Monthly and Annual Budgets for the office and inventory, Planning the Expenditures, verifying variances and changes to the current office expenditures, Reporting to GM 
  • Establish current and new Procedures for Customer and project Recordkeeping 
  • Assist in the Design and implementation of office/field Policies and procedures 
  • Oversee and Maintain Adherence to the office policies and procedures 
  • Assist with Customer Inquiries and Complaints with General Manager, Operations Manager, Sales manager 
  • Maintain a Safe, Secure, and Pleasant Work Environment 

 

LIST OF REQUIRED EXPERIENCE/SKILLS: 

  • Knowledge of Record Keeping and Detailed orientated record keeping 
  • Time Management Skills, ability to Multitask, ability to Prioritize Work 
  • Attention to Detail, Detailed review of standard operating procedure, and scope of work 
  • Strong organizational and planning skills 
  • Proficient in Microsoft suite of applications, word, excel, power point, outlook 
  • Ability to follow a specific process for onboarding of new customers, and Building and Executing a step-by-step project management 

 

LIST OF EXPERIENCE/SKILLS NOT REQUIRED BUT HIGHLY DESIREABLE: 

  • CONSTRUCTION MANAGEMENT EXPERIENCE 
  • EXPERIENCE IN MEDICAL RECORD KEEPING 
  • SERVICE TITAN SOFTWARE EXPERIENCE 
  • QUICKBOOKS ONLINE SOFTWARE EXPERIENCE OR SIMILAR 
  • BUDGET PLANNING AND TRACKING EXPERIENCE 
  • 4-YEAR DEGREE IN MEDICAL RECORDS, CONSTRUCTION, ENGINEERING, OR BUSINESS 


Salary

$45,000 - $75,000 per year
