Roles and Responsibilities
1. Communication and Client Coordination
- Answer calls for Driver Rehabilitation Services, Vehicle Modifications, and Vehicle Sales
- Respond to voicemails, missed calls, and Dialpad messages (texts and voicemails).
- Respond to case management portal messages or assign them to the appropriate therapist.
- Schedule evaluations and training sessions for Driver Rehabilitation Services.
2. Document Management
- Receive and appropriately disperse incoming faxes.
- Handle DMV-related faxes, including enrollment forms, extension requests, test requests, and restriction changes (3W/3L).
- Manage reports to referring providers and DMV for medical reviews.
- Archive completed client folders.
3. Client Preparation and Office Maintenance
- Prepare client folders for new clients, including evaluation packets, intake forms, and referral paperwork.
- Maintain cleanliness and organization of the lobby and office areas.
4. Payment and Financial Tasks
- Collect payments from clients.
- Maintain the income spreadsheet.
5. Additional Responsibilities
- Assist with vehicle maintenance, including inspection reports, refueling, and taking vehicles to car washes.
6. General Administrative Support
- Serve as Administrative Assistant for Driver Rehabilitation Services, Vehicle Modifications, and Vehicle Sales
- Perform various administrative tasks, including filing, mailing, invoicing, and scanning.
- Operate office equipment, including scanners, copiers, fax machines, and computers.
- Attend team meetings and contribute to organizational development.
- Establish and maintain lists, registers, and files in compliance with HIPAA regulations.
Minimum Qualifications (Knowledge, Skills, and Abilities)
- Proficiency in Google software packages, including Slides, Docs, Sheets, Forms & Gmail.
- Exceptional oral, written, telephone, and face-to-face communication skills.
- Strong organizational and time-management skills.
- Ability to troubleshoot office equipment, including photocopiers, fax machines, laser printers, computers, and scanners.
- Excellent customer service skills.
- Ability to work independently, self-initiate tasks, and problem-solve effectively.
- Adaptability and flexibility to support DRCE’s evolving objectives.
- Availability to work Monday - Friday, 9:00 AM to 5:00 PM
- Valid & Current Drivers License
- Minimum Education Requirement: GED/High School Diploma

Physical Requirements:
- Regularly required to talk and hear.
- Frequent use of hands, fingers, and tools.
- Occasionally required to stand, walk, sit, reach, climb, or balance.
- Occasionally lift and/or move up to 25 pounds.
- Specific vision abilities required include close vision, distance vision, color vision, peripheral vision, and focus adjustment.
Work Environment:
- Moderate noise levels typical of an office setting.
