We are looking for a reliable, practical, and detail-oriented Bookkeeper / Administrative Assistant to join our small business office team. The Opportunity
This is a steady, part-time role designed for someone who thrives keeping things organized behind the scenes.
We offer a flexible schedule with a mix of on-site and remote work. You’ll start out fully on-site to get your hands dirty, learn our specific Ranch systems, and get to know the team. Once you’re settled in, you can balance your week working both from home and here on the property, depending on what the Ranch needs.
What You'll Do
Keeping the Numbers Straight
- Day-to-Day Bookkeeping: Handle accounts payable, accounts receivable, and regular general ledger data entry to ensure everything balances perfectly.
- Reconciliations & Reports: Run monthly bank, credit card, and balance sheet reconciliations, and help pull together our monthly and quarterly financial closings.
- Program Billing: Assist with weekly and monthly billing paperwork for our residential programs (including ICF/IDD, HCS, and private pay).
- Banking Support: Put together the weekly banking documentation for the individuals living here in our residential programs.
- Procedures & Audits: Help us write down and update our standard office procedures, and work hand-in-hand with our outside accountants and annual auditors when they visit.
Pitching In Around the Office & Ranch
- Front Office Support: Help answer the phones, greet visitors, and keep the daily front office running smoothly.
- Ranch Events: Lend a hand at our on-site gift shop during special sales events, and pitch in during fundraising events when the team needs extra hands.
- Errands: Hop in the car for routine local errands, like running weekly deposits to the bank or making a post office run.
Who We Are Looking For
- Software Skills: You are completely comfortable using QuickBooks, Excel, Word, and standard office software. (5 years of QuickBooks and Microsoft Office experience is preferred).
- Work Style: You have a sharp eye for detail, take initiative to solve practical problems, and know how to meet a deadline without breaking a sweat.
- Community Minded: You are welcoming, friendly, and comfortable interacting with everyone in our community, including individuals with intellectual and developmental disabilities.
- Trustworthy: You understand how to handle sensitive information with absolute confidentiality and professionalism.
- The Basics: You must be at least 21 years old, have a clean driving record, and be able to pass a background check. A high school diploma or equivalent is required.
Schedule & Environment
- Hours: Up to 29 hours per week, scheduled to fit the operational flow of the Ranch.
- Setting: Friendly, down-to-earth environment with a hybrid work setup after initial onboarding training is complete.
