DOCN is seeking a full-time Membership Associate to provide support to our growing Network. This role will be responsible for the day-to-day support of DOCN’s Membership Program, ensuring member information is continually updated and providing proactive member assistance, using clear and efficient communication. The Membership Associate is responsible for administrative support to the Membership team and is integral to the overall success and smooth operations of membership activities at DOCN. This includes membership dues processing, acknowledgements, fulfillment, stewardship, renewals, general administration, project management, and event support. This position will report to the Membership Director.

BACKGROUND 

Founded in 2019, the Donors of Color Network (DOCN) is a first of its kind cross-racial community of donors committed to engaging our collective power towards racial equity and justice. 


Our mission: We are a donor organizing community dedicated to ensuring that Black, indigenous, and all communities of color, participate fully in society free from violence and systemic racism.  We work with BIPOC-led organizations and movement organizations that explicitly acknowledge the collective need to uproot and address systems of oppression, the wealth gap, and violence..


We are a learning and strategy center that organizes, educates and invests in donor leadership to build a community of wealthy donors of color committed to becoming part of the movement for racial justice. DOCN members are collectively building the first multiracial giving infrastructure to support BIPOC community organizations and leaders.


POSITION OVERVIEW

DOCN  is seeking  a full-time Membership Associate to provide support to our growing Network. This role will be  responsible for the day-to-day support of DOCN’s Membership Program, ensuring member information is continually updated and providing  proactive member assistance, using clear and  efficient  communication. The Membership Associate is responsible for administrative support to the Membership team and is integral to the overall success and smooth operations of membership activities at DOCN. This includes membership dues processing, acknowledgements, fulfillment, stewardship, renewals, general administration, project management, and event support. This position will report to the Membership Director.


Areas of Responsibilities:

  • Provide frontline premium customer service and support for all DOCN members, potential members, meeting attendees, stakeholders, partners, and contacts.
  • Update and maintain DOCN membership database (EveryAction) including contact, invoicing and payment information, documenting protocols and processes and ensuring data integrity and security. 
  • Assist with the creation of membership queries, monthly and ad hoc reports (metrics, dashboards, prospect lists), and email lists. Perform regular data reporting, analysis, and list management functions, manage email data security & data hygiene, as well as email bounce-backs and duplicate management.
  • Securely process membership applications, invoices, and payments,  Run reports and provide documentation to the Finance Department for monthly reconciliation of contributions. 
  • Work with the Membership Director to prepare and execute membership appeals, renewals, and fulfillment. 
  • Support donor/member stewardship, ensuring timely gift follow-up (thank you calls, acknowledgment letters, receipts, and notes).
  • Commitment to  staying up to date on current best practices for member stewardship and membership growth by attending trainings, reading articles, etc.
  • Provide administrative support for monthly Membership Working Group meetings.
  • Assist with maintaining a calendar of events in partnership with the Events Manager and assisting in meeting key deadlines; provide support for internal and external meeting scheduling and preparation.
  • Perform general administrative tasks, including scheduling and confirming meetings, providing logistical meeting support, creating agendas, taking meeting notes, etc.
  • Maintain electronic filing systems (ensure good order, accessibility, and consistent naming conventions) and archive as necessary.
  • Provide organizational, administrative, and technical support to the Membership team.
  • Assist with event staffing needs as assigned for both in-person and virtual events
  • Ensure that member facing materials and communications are accurate, accessible, up-to-date, and timely in partnership with the Communications Team.
  • Ensure that all internal and external interactions are culturally responsive, respectful, and based on a foundation of DOCN’s  commitment to inclusion, diversity, equity, and accessibility.
  • Establish strong and collaborative working relationships with colleagues across the organization.
  • Domestic travel required as needed (up to once a month) to support DOCN or related meetings or conferences.
  • Other duties as assigned. We’re a growing organization, and responsibilities will evolve with the role and as opportunities emerge. 

  

Qualifications:

  • A strong commitment to the mission of the DOCN.
  • Bachelor’s degree or equivalent work experience.
  • Advanced computer proficiency or aptitude for learning including all Google Suite applications, virtual conferencing (Zoom), project management (using Asana or Notion) and data management systems (EveryAction, etc).
  • 1-2 years of demonstrated development, customer, administrative or member service experience. 
  • Demonstrated ability to establish strong working relationships and work effectively with a broad range of people, including members, employees, vendors, and supporters, at different levels and from diverse backgrounds.
  • Flexibility, cooperative attitude, and ability to work effectively in a team environment.
  • Available to work evening and weekend hours, as needed, and ability to travel domestically as necessary. 
  • Commitment to maintain strict confidentiality and exercise discretion.
  • Must be extremely organized, diligent, able to multitask, and operate with the highest degree of integrity.
  • Able to work independently with a high degree of initiative and collaboratively with a small team.


Preferred: 

  • Experience working in a philanthropy or nonprofit organization is a plus.
  • Previous association, membership, or development  support experience.

ADDITIONAL INFORMATION 


Location: Fully remote, with the expectation of regular travel (i.e.monthly). We strive to create a family-friendly work environment and can make accommodations for team members with limited ability to travel. 


Compensation and benefits: Full-time remote (work-from-home) position; starting salary $65,000 - $75,000 commensurate with skills and experience; health benefits; paid sick time; work-from-home stipend; and vacation.
