Description

Essential Functions:

Patient Interaction & Scheduling

  • Greet and check in patients promptly and courteously, ensuring a welcoming experience.
  • Verify and update patient demographics and insurance information.
  • Assist patients with completing forms and answering inquiries.
  • Schedule, confirm, and manage patient appointments and follow-up visits using Electronic Health Record (EHR) systems.
  • Address patient concerns and inquiries or escalate them to the appropriate staff member as needed.

Administrative & Billing Support

  • Answer and route phone calls professionally, respond to voicemails, and relay messages to physicians.
  • Collect co-pays, process payments, and issue receipts; reconcile payments at the end of the day.
  • Assist with insurance verification, pre-authorizations, and processing claims accurately.
  • Maintain and update patient records in the EHR system, ensuring accuracy and confidentiality.
  • Manage daily schedules to optimize patient flow and physician availability.
  • Fax, scan, and file documents as needed, ensuring records are well-organized.

Operational Support

  • Coordinate communication between patients, physicians, and office staff to ensure smooth clinic operations.
  • Prepare charts and files for daily appointments.
  • Assist with referrals and prior authorizations as required.
  • Maintain a clean, organized front desk and waiting area, promoting a professional environment.
  • Monitor and order front desk supplies to support daily operations.

General Office Duties

  • Collaborate with office staff and physicians to enhance workflow and patient care delivery.
  • Participate in staff meetings, training sessions, and quality improvement initiatives.
  • Ensure compliance with policies, procedures, and regulatory requirements to uphold patient safety.
  • Perform other duties as assigned to support the practice.

Knowledge, Skills, and Abilities:

  • Ability to have compassion, empathy, and dedication to patient well-being.
  • Excellent verbal and written communication skills, with strong interpersonal, organizational, and documentation abilities to effectively interact with various departments and individuals.
  • Proficiency in using office productivity software and electronic health record systems.
  • Ability to solve problems timely and ensure prompt resolution.
  • Ability to work effectively and efficiently in a growing and changing environment, and skilled at multi-tasking.

Education and Experience:

  • High school diploma or equivalent required; completion of a medical assistant program preferred.
  • Previous experience in primary care, outpatient, or family medicine setting required.
  • Proficiency in Electronic Clinical Works (ECW) software preferred.
  • Current Basic Life Support (BLS) certification preferred.
  • Minimum of 5 years working as a medical receptionist required.

Physical Demands

  • While performing the duties of this job, the employee is regularly required to sit, talk, or listen.
  • The employee is frequently required to stand, walk; use hands to finger, handle or feel; and reach with hands and arms to assist patients and/or clinic staff.
  • Occasionally assists with moving wheelchair bound patients, clinical equipment, and office supplies up to 35 pounds.
