The Part-Time Administrative Assistant provides essential administrative and executive support to the President & CEO while helping keep Divine Events organized and operating efficiently. Responsibilities include calendar and schedule management, meeting coordination and note-taking, action-item tracking, filing and recordkeeping, general office administration, communication, and support for event-related and company projects. The ideal candidate is organized, dependable, professional, detail-oriented, and proactive.

Schedule: Monday, Wednesday & Friday, 8:00 AM–1:00 PM; one Saturday per month, 8:00 AM–1:00 PM
Hours: Approximately 65 hours/month
POSITION SUMMARY
Divine Events is seeking a reliable, organized, professional, and detail-oriented Part-Time Administrative Assistant to provide administrative and executive support to the President & CEO and assist with the day-to-day operations of the company.
KEY RESPONSIBILITIES
* Manage the President & CEO's calendar, appointments, meetings, and scheduling.
* Coordinate meetings with clients, vendors, team members, and business partners.
* Take meeting notes and prepare concise summaries of decisions, next steps, and action items.
* Maintain and follow up on action-item lists and deadlines.
* Maintain organized electronic and physical files and company records.
* Assist with email organization, data entry, spreadsheets, documents, reports, printing, scanning, and filing.
* Prepare agendas, meeting materials, schedules, and other administrative documents.
* Assist with scheduling event meetings, consultations, walkthroughs, and internal team activities.
* Maintain contact information and administrative databases.
* Assist with office organization, supplies, mail, and general administrative needs.
* Provide professional communication and administrative support to clients, vendors, and team members as directed.
* Assist with event-related administrative preparation and follow-up.
* Support special projects and other duties assigned by the President & CEO.
QUALIFICATIONS
* High school diploma or equivalent.
* Previous administrative, office, customer service, or coordination experience preferred.
* Strong organizational, communication, and time-management skills.
* Excellent attention to detail and follow-through.
* Proficient with email, calendars, Microsoft Office/Google Workspace, spreadsheets, and standard office technology.
* Ability to work independently and manage multiple priorities.
* Professional, dependable, proactive, and team-oriented.
* Ability to maintain confidentiality and handle sensitive business information appropriately.
* Event planning, hospitality, nonprofit, or professional-services experience is a plus.

The ideal candidate will help keep the President & CEO organized, ensure meetings and action items are followed through, maintain accurate records, and keep Divine Events' administrative operations running efficiently and professionally.
$18 - $25 per hour
