This role is best understood as operations and outreach support for practice leadership.
We’re seeking an Operations & Outreach Office Assistant who can partner with leadership to help the practice stay oriented, organized, and on track. This includes tracking important dates, monitoring incoming mail and messages, preparing drafts and materials, and nudging leadership when follow-through is needed.
You won’t be responsible for clinical work or decision-making — but you will be a collaborative thought partner who helps ensure things don’t fall through the cracks.
Key Responsibilities
Operations Support (Core Responsibility)
- Check physical and digital mail and route important items to leadership
- Track important dates, deadlines, and recurring obligations
- Maintain reminders and task lists for leadership follow-through
- Use respectful, proactive communication to nudge leadership when action is needed
- Flag emerging issues before they become urgent
Outreach & Content Execution
- Use AI tools (with guidance) and pre-existing templates to draft blog posts, captions, and outreach copy
- Prepare and schedule social media posts using existing templates
- Track content calendars and note what is ready for review
- Support basic website or blog updates as directed
Visual & Asset Support
- Take staff headshots and simple in-office photos
- Organize and upload visual assets
- Maintain consistency using provided brand templates and guidelines
Administrative Support
- Maintain organized digital systems (Google Drive, trackers, internal docs)
- Support onboarding tasks, scheduling workflows, and internal coordination
- Assist with light reporting and practice analytics
- Track recurring operational needs
Client-Facing Support (Non-Clinical)
- Monitor general inquiry mailboxes and route messages appropriately
- Use templates to respond when directed
- Maintain confidentiality and professional boundaries
This role includes regular in-office support and requires comfort working on-site.
What We’re Looking For
Required
- Strong operational skills (planning, prioritizing, tracking, follow-through)
- Comfort with upstream communication, including reminding leadership of tasks or deadlines
- Ability to collaborate respectfully without waiting to be asked
- Comfort using AI tools, templates, and digital systems
- Clear, direct, and kind communication style
Nice to Have
- Experience acting as an executive assistant, operations coordinator, or project support
- Familiarity with healthcare, mental health, or small practices
- Comfort supporting neurodivergent leadership
- Basic photography or visual content experience
Schedule & Location
This role is approximately 10-15 hours per week, typically structured as two-three 5-hour days.
We’re ideally seeking someone who can work at least one on-site day each week.
Preferred on-site days are Monday or Friday (with flexibility), which allows for:
- In-office operational support (mail, errands, photos, physical tasks)
- Some overlap with existing staff for coordination and continuity
Exact days and times will be finalized collaboratively based on practice needs and availability.
