Job Description:
We are seeking a highly organized and detail-oriented individual to join our team as a Tax Admin Specialist. In this role, you will be responsible for processing tax documents and providing support to our tax associates in the preparation of tax returns. You will work closely with clients, ensuring all necessary documents are collected, organizing client folders, and maintaining accurate records. Your exceptional organizational skills and attention to detail will be vital in ensuring efficient tax preparation processes.
Responsibilities:
- Process Tax Documents: Receive, review, and process tax documents from clients, including W-2 forms, 1099 forms, receipts, and other relevant financial information. Ensure all documents are accurately labeled and organized for easy retrieval.
- Client Communication: Communicate with clients to request additional documents or clarification on provided information. Assist in gathering missing or incomplete documents, ensuring timely and accurate completion of tax files.
- Folder Setup and Organization: Create and maintain client folders in a systematic and organized manner. Ensure all necessary documents are included in the client's file, such as prior-year tax returns, financial statements, and supporting schedules.
- Recordkeeping: Maintain accurate and up-to-date records of client interactions, document requests, and any other relevant information. Ensure all client data is securely stored and easily accessible for reference.
- Quality Assurance: Conduct periodic reviews of client files to ensure completeness and accuracy. Verify that all required forms, schedules, and supporting documentation are present and properly completed.
- Collaboration with Tax Associates: Work closely with tax associates to provide administrative support in tax return preparation. Assist with gathering necessary information and coordinating client requests.
- Compliance and Deadlines: Stay updated on tax regulations and deadlines to ensure timely submission of tax returns. Adhere to established procedures and guidelines to maintain compliance with tax laws and regulations.
- Process Improvement: Identify opportunities for process improvement and implement efficient systems to streamline tax administration tasks. Propose suggestions for enhancing overall workflow and client service.
Qualifications:
- High school diploma or equivalent; additional education or training in accounting or finance is a plus.
- Proven experience in administrative or data entry roles, preferably in a tax or accounting environment.
- Strong attention to detail and accuracy, with the ability to maintain focus while working with large volumes of data.
- Excellent organizational skills, including file management and recordkeeping.
- Proficient in using computer applications and software, including spreadsheet and database programs.
- Knowledge of tax regulations and familiarity with tax forms and documents is advantageous.
- Strong verbal and written communication skills for effective client interaction.
- Ability to work independently and collaboratively in a team-oriented environment.
- Capacity to prioritize tasks, meet deadlines, and adapt to changing priorities.
