Job Requirements
- Prior experience as an Executive Assistant in a start-up or growth stage company, preferably supporting the Chief Executive Officer or C-Suite level.
- 5+ years of progressive administrative support experience demonstrated through work or military experience, with 3+ years as an executive assistant
- You have managed complex and dynamic calendars supporting multiple managers with calendar management, travel arrangements, scheduling of meetings and events
- Advanced G-Suite skills (Cal, Docs, Sheets, Slides, Forms, and Email)
- Strong attention to detail and accuracy skills
- Demonstrated the ability to prioritize multiple tasks in order to successfully meet deadlines
- Excellent verbal, written, and interpersonal communication skills
- You have written and edited internal communications, including corporate and executive level communications
- You possess the ability to work independently to analyze and solve problems
- Proficient at optimizing systems/tools for tracking expenses, scheduling travel, monitoring time, etc.
- You have a track record of superior partnership skills and a collaborative approach; ability to interact with all levels of the organization
- You have a track record of maintaining confidentiality and discretion, and inspire trust by behaving in a way that suggests personal discretion and integrity
Responsibilities:
The CEO Assistant at DISTINCT is responsible for:
- Managing the CEO's schedule and calendar.
- Coordinating meetings and travel arrangements for the CEO.
- Complete and run errands as scheduled or needed
- Preparing documents, reports, and presentations as requested by the CEO.
- Providing administrative support to the CEO as needed
- Distributing e-mails to the appropriate team members
- Covering phones
- Coordinate the day-to-day and long-range activities and operation of the Executive Office
- Organizing and maintaining administrative files
- Manage complex and dynamic calendars
- Manage all aspects of travel arrangements such as booking, preparing travel itineraries, making changes as needed and submitting expense reports
- Coordinate meetings to include participant’s travel, lodging, dining arrangements and meeting space as needed
- Screen incoming executive communication: phone calls, emails, mail and visitors; route and resolve information requests
- Draft complex and/or confidential correspondence, handling confidential company materials with sensitivity and discretion
- Edit documents and presentations as needed; prepare materials and communications for the Staff and/or Board of Directors meetings

- Demonstrated advanced level mastery in Google Suite (Sheets, Docs, Slides) and Canva and Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint), Google Sites, Wix and virtual platforms such as Teams and Zoom.
- Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
- Exceptional organizational skills and the ability to complete a large volume of accurate work.
- Ability to look ahead and anticipate needs for travel, meetings, and projects and take initiative to coordinate.
- Ability to work well within a cross-functional team and diverse groups.
