DCF in Castle Rock is looking for an Administrative Assistant to keep the store running smoothly by handling the administrative side of the house, working collaboratively with the Store Manager, serving as a point of contact for employees and managers, and to ensure everything is running on schedule to ensure we are complying with compliance regulations and are following uniform DCF policies and procedures. Job Summary:

Responsible for performing a variety of administrative and support tasks to aid in the successful operation of the DCF Colorado Springs stores. These would include, but are not limited to, receiving, auditing, administration, and other regulatory obligations.

General Accountabilities and Responsibilities:

  • Provides administrative assistance to the Store Manager, and the Managing Partners, based on store needs.
  • Receiving for all deliveries and pallet shipments which includes processing via the appropriate systems, storing or placing in designated locations. This daily task should be completed as first priority each day and will account for up to 25% of each day.
  • Process outgoing shipments to include firearm shipments.
  • Auditing and reporting of ATF Form 4473 and other acquisition & disposition documentation according to regulations and procedures. Auditing to be performed daily, weekly, and monthly.
  • Administer any ATF traces, and/or assist in inspections.
  • Verify, prepare, & deliver daily sales cash deposits.
  • Identifies and prioritizes problems and issues within store operations.
  • Open and distribute incoming mail.
  • Verify accounts payable invoicing and submit to accounting.
  • Administer and accounting for petty cash safe.
  • Process consignments.
  • Update and maintain internal records retention process and filing systems.
  • Administer assistance with submitting payroll hours for hourly store employees.
  • Facilities store specific onboarding for new hires to include set up of email account; assign uniforms, keys and laptop (if applicable); order name tag and business cards; schedule BLL and hearing tests within the first 30 days. Log and account for onboarding and offboarding company property.
  • Administer all store supply orders.
  • Ensure the store is maintaining a tidy appearance and maintaining OSHA standards.
  • Work with Facilities Manager to schedule chemical audit, and perform waste disposal record review monthly, among other facilities requirements.
  • Participate in quarterly gun audit to include ALL firearms, NFA and gunsmithing.
  • Process various annual licensing and registration renewals.
