Construction Office Administrator

Location: Spokane Valley, WA

Employment Type: Full-Time, In-Office


About the Role

We are seeking a reliable and detail-oriented Construction Office Administrator to support daily office operations, construction projects, and management. This role is critical to keeping projects organized, compliant, and running smoothly by serving as the coordination hub between the office, field, accounting, and management.


Key Responsibilities

• Answer phones, manage emails, and serve as the primary office point of contact

• Organize and maintain project files, contracts, and documentation (digital and paper)

• Assist with project setup, tracking, and closeout documentation

• Support accounting with invoice processing, document routing, and expense tracking

• Collect and organize timecards, payroll documentation, and certified payroll records

• Assist with compliance for public works and prevailing wage projects

• Coordinate communication between project managers, field crews, vendors, and subcontractors

• Support employee onboarding paperwork and personnel file maintenance


Qualifications

• 2+ years of administrative or office experience (construction or trades preferred)

• Strong organizational skills and attention to detail

• Proficient with Microsoft Outlook, Word, Excel, and file management systems

• Ability to manage multiple priorities and meet deadlines

• Professional communication skills and a high level of confidentiality


Preferred Experience

• Construction, contracting, or public works environment

• Prevailing wage or certified payroll familiarity

• Experience with construction or accounting software (e.g., Procore, Foundation, Gusto)
