Description

The Procurement Coordinator is responsible for sourcing hotel properties, building supplier relationships, negotiating rates and terms, and securing lodging solutions that meet client requirements. This role supports government and commercial clients with high-volume, long-term, emergency response, and other specialized lodging needs.


Our procurement team finds qualified properties, builds supplier relationships, negotiates rates, and verifies that each arrangement meets the client’s requirements. We value people who take ownership, follow through, and stay calm when plans change.


As part of the Contact Center, the Procurement Coordinator works closely with Account Managers, CSRs, and other team members to support complex or difficult-to-fulfill lodging needs.


Key Responsibilities

Hotel Sourcing & Procurement

  • Research and identify hotels that meet client requirements, including location, dates, room types, volume, length of stay, and pricing.
  • Source lodging for high-volume, long-term, emergency response, and other specialized needs.
  • Research Best Available Rates (BAR), Government Per Diem Rates, market conditions, and occupancy trends.
  • Evaluate properties based on availability, pricing, location, and client requirements.
  • Support Account Managers and CSRs with complex or difficult-to-fulfill lodging requests.

Vendor Relationships & Negotiation

  • Build and maintain relationships with hotel General Managers, Directors of Sales, Revenue Managers, and other decision-makers.
  • Communicate lodging requirements and partnership opportunities clearly and professionally.
  • Negotiate competitive rates, direct billing arrangements, reservation terms, and other applicable conditions.
  • Obtain written confirmation of rates, availability, billing requirements, and agreed-upon terms.
  • Follow up consistently to move partnerships and lodging arrangements forward.
  • Identify and escalate to appropriate hotel decision-makers when needed.

Vendor Setup & Documentation

  • Coordinate documentation needed for Vendor Agreements and direct billing arrangements.
  • Verify hotel and vendor information against established agreements.
  • Confirm hotel contacts and reservation procedures for future bookings.
  • Maintain accurate vendor information, rates, availability, and terms in SharePoint and proprietary software.

Team & Operational Support

  • Work with internal teams to ensure lodging arrangements meet client and operational requirements.
  • Manage multiple sourcing and negotiation requests while maintaining accuracy and timely follow-up.
  • Document procurement activity and vendor information accurately.
  • Provide additional support during high-volume and emergency response periods.
  • Adjust priorities as client needs and hotel availability change.
  • Represent the company professionally in all interactions with vendors and internal teams.


Qualifications

  • 3+ years of experience in hospitality procurement, hotel sales, lodging, logistics coordination, or a related field.
  • Strong communication, negotiation, and relationship-building skills.
  • Strong organization, attention to detail, and follow-through.
  • Ability to manage multiple priorities in a fast-paced, time-sensitive environment.
  • Comfortable working independently and taking ownership of responsibilities.
  • Strong problem-solving skills and sound judgment.
  • Proficiency with Microsoft Office, SharePoint, and business software systems.

Preferred Qualifications

  • Experience with government or agency contracts.
  • Knowledge of Government Per Diem Rates and tax-exempt lodging requirements.
  • Experience with long-term, group, crew, or high-volume lodging.
  • Experience negotiating hotel rates or direct billing arrangements.
  • Experience working with vendors across multiple time zones.

Salary

$21 - $23 per hour
