As we grow, we are looking for a highly organized and service-driven Client Success Associate I/II (CSA) to join our team and help elevate our operational excellence.


Position Summary


The CSA plays a mission-critical role in supporting daily operations and ensuring an exceptional client experience. This individual will be responsible for client onboarding, custodial paperwork, account maintenance, service request resolution, and CRM management. The ideal candidate thrives in a detail-oriented environment, communicates clearly and professionally, and enjoys working behind the scenes to keep the firm running smoothly.


This is a part-time position (15–25 hours per week) with the intention of transitioning to a full-time role (32+ hours) within 9–12 months, contingent upon business growth and performance.


Key Responsibilities

  • Serve as the first point of contact for client administrative needs
  • Prepare and process account applications, ACAT transfers, and money movement forms
  • Coordinate e-signature workflows, document uploads, and custodian communications
  • Maintain accurate CRM data and task tracking
  • Assist in preparing meeting materials and tracking deliverables
  • Monitor service requests and ensure timely follow-up and resolution
  • Support the firm’s annual client service calendar and operational workflows
  • Suggest and implement process improvements to enhance efficiency
  • Support the advisor in client marketing campaigns and events coordination


Qualifications


Minimum Requirements:


  • Associate’s degree OR at least 3 years of relevant experience in financial services, client service, or operations support
  • Excellent verbal and written communication skills
  • High attention to detail, reliability, and follow-through
  • Experience with Microsoft Office; familiarity with CRMs and custodial platforms (e.g., Pershing, Schwab, Fidelity) is a plus
  • Professional demeanor and discretion with confidential information
  • Ability to thrive in a small-team, fast-paced, client-first environment
  • This position is subject to a criminal background check and fingerprinting, as required by our regulatory obligations, following a conditional offer of employment
  • This is an in-office/hybrid role based in San Jose, CA, and requires regular in-office presence.


Compensation & Benefits


  • Base Hourly rate*: $23.71 to $33.42, based on experience and qualifications
  • Annual performance incentive opportunity**: Up to 8% of yearly average pay. Eligible after one year of employment. Bonus payouts are made annually on March 15 for the prior calendar year
  • Holiday bonus (discretionary)**:
  • Up to $500 for part-time employees and $1,000 for full-time employees
  • Eligibility begins after 6 months of continuous employment
  • Pro-rated holiday bonus may apply if employment is less than 6 months by December 15
  • Bilingual Incentive**: 2% of hourly pay, applied to base compensation. This is awarded separately and does not compound with performance-based bonuses.
