Position Summary
The Billing Lead is responsible for overseeing all aspects of revenue cycle management, including insurance claims processing, private pay invoicing, payment posting, patient billing inquiries, and managing denials and appeals. This role will ensure accurate and timely billing, optimize reimbursement, and maintain compliance with all payer regulations.
Key Responsibilities
- Insurance Billing & Claims Management
- Submit accurate claims to insurance companies (primary and secondary)
- Track claim status and follow up on unpaid or denied claims
- Correct and resubmit denied claims as necessary
- Verify insurance eligibility and benefits as needed
- Maintain knowledge of payer-specific requirements and updates
- Ensure accurate invoicing for self-pay clients
- Manage recurring billing and payment plans when applicable
- Monitor account balances and communicate with clients about outstanding payments
- Payment Posting & Reconciliation
- Post payments from insurance and clients accurately and promptly
- Reconcile payments with EOBs (explanation of benefits)
- Prepare regular financial and billing reports
- Team Leadership & Collaboration
- Serve as the main point of contact for billing-related questions
- Train and support team members on billing procedures and systems
- Collaborate with clinical and administrative teams to improve workflows
- Ensure compliance with HIPAA and payer regulations in all billing and documentation practices
- Compliance & Best Practices
- Maintain HIPAA compliance and confidentiality of all client and financial records
- Stay updated on changes in insurance policies, CPT codes, and billing regulations
- Identify and implement process improvements for efficiency and accuracy
Qualifications
- 3+ years of experience in medical billing, preferably in a mental health or behavioral health setting
- Strong knowledge and experience working with insurance payer portals to verify insurance, access EDI, process ERA/EOB, and manage denials and appeals.
- Experience with both insurance and private pay billing
- Proficiency with electronic health records (preferably IntakeQ or similar), Google Workspace, and billing software
- Detail-oriented with strong organizational and time management skills
- Excellent communication skills and a customer service mindset
- Supervisory or team lead experience is a plus
- Excellent communication, organizational, and problem-solving skills
- Commitment to confidentiality, professionalism, and client-centered service
Preferred Skills
- Familiarity with Profit First principles or experience in a growth-oriented small business
- Experience in multi-location or virtual team management
Additional Information:
Training may require travel to one of our office locations outside of home office location.
