COOL Church Facilities Supervisor (Full-Time)

Overview
COOL Church is seeking a Facilities Supervisor to lead day-to-day facility care, cleanliness, and readiness so our church environments are safe, welcoming, and excellent for every family who walks through our doors. This role is hands-on and mission-critical—ensuring our buildings, rooms, and grounds reflect stewardship and hospitality in alignment with COOL Church’s mission to build strong families to build strong futures.
This role also ensures the building remains clean, safe, and fully operational throughout the week for all ministries—including weekday church events, special events, and our school operations. The ideal candidate is dependable, proactive, and solution-oriented—someone who takes ownership, leads with integrity, and brings calm, consistent execution to facility operations.
Primary Responsibilities
Facility Readiness & Weekly Execution
- Ensure the building is fully prepared for Sunday services, midweek gatherings, school days, and special events (setup readiness, cleanliness, restrooms stocked, HVAC/lighting checks).
- Complete walkthroughs using readiness checklists and address issues before guests/students arrive.
- Coordinate room setups and resets for ministries, school use, and events (chairs, tables, signage, stage needs as assigned).
Scheduling & Coverage (Church + School + Special Events)
- Build and manage the master facilities coverage schedule for church services, weekday ministries, school operations, and special events.
- Coordinate with custodians and the Maintenance Lead to assign daily coverage, prioritize work orders, and ensure setups, resets, cleanliness, and maintenance standards are upheld.
- Plan coverage for holidays, high-volume seasons, and major events; ensure backup coverage plans are in place for call-outs and urgent needs.
- Coordinate vendor schedules (deep cleans, landscaping, HVAC, pest control, etc.) to align with building use and event calendars.
Weekday Facility Coverage (Church + School)
- Maintain cleanliness, safety, and readiness during the week for all weekday activity, including school operations, rehearsals, meetings, ministries, and community events.
- Perform routine walkthroughs to ensure classrooms, restrooms, hallways, offices, and common areas are clean, stocked, and safe.
- Coordinate room resets between events and school use (trash removal, supply restock, floor care, furniture arrangements).
- Respond quickly to spills, hazards, or urgent facility needs during active building hours.
- Communicate proactively with School leadership and Church staff regarding scheduling needs, room readiness, and building issues.
Special Events Support
- Prepare facilities for special events including conferences, holiday services, outreach events, weddings/funerals, and major ministry gatherings.
- Coordinate pre-event setups and post-event resets (rooms, chairs/tables, signage, trash removal, restocking).
- Partner with event leaders to confirm room layouts, timelines, and facility needs in advance.
- Provide on-site support during events as scheduled to address urgent facility needs and ensure safety standards are maintained.
Cleaning, Presentation & Hospitality Support
- Lead cleanliness standards for all areas: auditorium, lobby, kids spaces, classrooms, restrooms, offices, storage, and exterior.
- Ensure all supplies are stocked (paper goods, soap, trash liners, cleaning products).
- Maintain a high standard of presentation so every environment feels welcoming and cared for.
Maintenance & Repairs
- Partner with the Maintenance Lead to identify, prioritize, and track facility repairs and preventative maintenance needs.
- Track issues and coordinate vendor work orders for specialized repairs.
- Maintain a maintenance log and ensure recurring problems are addressed at the root.
- Conduct regular inspections/walkthroughs to catch problems early and ensure repairs are completed to standard.
Safety, Security & Stewardship
- Support building safety checks: exits clear, lighting functioning, trip hazards addressed, storage organized.
- Ensure tools, equipment, and chemicals are stored safely and properly labeled.
- Assist leadership in implementing safety processes for volunteers, staff, and school operations.
Vendor & Contractor Coordination
- Coordinate with external vendors (cleaning, landscaping, HVAC, electrical, plumbing, pest control) as assigned.
- Gather quotes, schedule work, and confirm tasks are completed to standard.
- Monitor facility-related spending and report needs to leadership.
Team & Volunteer Support
- Supervise or coordinate any facility volunteers, interns, or part-time custodial support (if applicable).
- Create simple task checklists and routines that help others succeed.
- Serve other departments with a helpful, team-first mindset.

Performance Measures (What We Track)
- Sunday Readiness: facility checklist completed weekly before doors open.
- Weekday Readiness (Church + School): walkthrough checklist completed on the agreed schedule; classrooms/restrooms/common areas consistently ready.
- Special Events Readiness: event setup completed by agreed deadlines; post-event reset completed within agreed timeframe.
- Coverage & Scheduling: 95%+ of services/events/school days staffed with no last-minute gaps; backup plan used effectively for call-outs.
- Cleanliness Standard: restrooms/lobby/auditorium/classrooms consistently meet inspection standards.
- Work Order Response: routine issues addressed within 48–72 hours (where possible); urgent school/daytime issues escalated same day when possible.
- Preventative Maintenance: monthly maintenance log completed; recurring issues reduced.
- Supply Management: zero “out of stock” incidents for essential supplies.
- Safety: hazards addressed promptly; storage and chemical handling compliant.
Qualifications
Required
- 2+ years of facilities, custodial, maintenance, or building operations experience.
- Ability to perform physical work (lifting up to ~50 lbs, moving tables/chairs, basic tool use).
- Reliable transportation and dependable attendance (Sundays and key weekday events/school coverage required).
- Strong problem-solving skills and ability to work independently.
- Basic comfort with checklists, texting/email communication, and tracking tasks.
- Alignment with COOL Church mission and staff values.
Preferred
- Experience supervising a small team or vendors.
- Experience in a church, school, nonprofit, or event facility environment.
- Basic maintenance skills across plumbing/painting/electrical/HVAC coordination.

Compensation & Benefits
Salary: $40,000 annually
