Campus Production Coordinator (Part-Time)

Leads: Weekend production volunteers (FOH, ProPresenter, lights, cameras, broadcast as applicable)
Overview
COOL Church is seeking a spirit-led, highly reliable, and execution-focused Part-Time Production Coordinator to support the weekly production needs of Sunday services at one of our campuses and churchwide special events (as needed). This role exists to ensure every worship experience is distraction-free, excellent, and aligned with our mission of building strong families to build strong futures. The Production Coordinator owns weekly service readiness and Sunday execution—coordinating people, plans, and production details. This role works under the leadership of the Production Director (who owns systems, standards, and multisite technical consistency) and partners closely with Worship, Creative, and Campus teams.
Primary Responsibilities
Weekly Service Execution (Own the Sunday)
- Lead day-of production execution for Sunday services (audio, video, lighting, lyrics/graphics, and livestream support as assigned).
- Run pre-service checklists and confirm all systems and volunteers are ready before doors open.
- Coordinate transitions and service flow with Worship and Creative leadership.
- Serve as first-response troubleshooting during services and escalate system-level issues to the Technical Director.
Volunteer Coordination & Scheduling
- Build and manage weekly volunteer schedules for production roles (FOH, cameras, lights, ProPresenter/graphics, stage support).
- Confirm volunteers in advance and proactively fill open positions.
- Support onboarding by assigning new volunteers into the training pathway created by the Production Director.
- Create a healthy, joyful volunteer environment aligned with COOL Church values.
Service Files, Media & Preparation
- Prepare and organize ProPresenter files, lyrics, sermon slides, videos, and playback assets before each Sunday.
- Coordinate with Worship/Creative to ensure correct versions, naming, and run-of-show alignment.
- Maintain a clean digital filing structure for weekly production assets.
- Document weekly lessons learned and update checklists/SOPs as directed.
Communication & Team Alignment
- Serve as a communication hub between Worship, Creative, and Production volunteers for weekly execution details.
- Participate in weekly planning meetings and communicate deadlines, needs, and updates clearly.
- Provide end-of-day Sunday recap notes (wins, issues, follow-ups) to the Production Director.
Event Support (As Needed Within Hours)
- Support special events (youth nights, conferences, holidays) with planning and execution, as scheduled.
- Assist with midweek rehearsals when needed (based on the event calendar and part-time hours).

- Sundays run smoothly: services start on time, transitions are clean, and production is distraction-free.
- Volunteer schedules are filled consistently and volunteers feel supported, trained, and appreciated.
- All media and ProPresenter content is prepared ahead of time with no last-minute scrambles.
- Issues are documented and communicated clearly so systems improve week after week.

Performance Measures (What We Track)
- Service Readiness: All pre-service checklists completed before doors open (weekly).
- Volunteer Coverage: 85–100% of critical production roles filled weekly.
- Disruptions: ≤ 2 production-related disruptions per month (within your control/scope).
- Preparation: ProPresenter/media finalized by agreed weekly deadline (set with Technical Director).
- Communication: Sunday recap sent within 24 hours with action items and follow-ups.
Qualifications
Required
- 2+ years of experience in church or live-event production (audio, video, lighting, or service production).
- Comfortable with ProPresenter and basic media workflows (lyrics, slides, videos).
- Strong organization and communication skills; dependable and punctual.
- Ability to troubleshoot common live-production issues calmly under pressure.
- Ability to lead volunteers with encouragement, clarity, and accountability.
- Spiritually mature and aligned with COOL Church’s mission and staff values.
Preferred
- Experience with livestream workflows (basic streaming software, audio routing, camera coordination).
- Experience with Planning Center, scheduling tools, or project management tools.
- Hands-on familiarity with digital audio consoles, lighting control, or video switching.

Compensation & Schedule
- Part-Time Position: 20 hours per week
- Hourly Rate: $22-$26 per hour (based on experience)
- Sunday services and key rehearsals/events as scheduled
