Title: Director of Finance and Administration

Position Summary: This role serves as the organization’s central owner of administrative, financial, and systems infrastructure. This position is responsible for ensuring that all back-office functions—finance, IT, risk, and general administration—operate reliably, efficiently, and in alignment with organizational mission, priorities, and growth.
Acting as the primary internal point of accountability for outsourced vendors and internal administrative systems, this role translates complex operational and financial activity into clear, actionable insight for leadership. The position removes friction, risk, and administrative burden across the organization, enabling program leaders to focus on service delivery with strong administrative support. Success is measured by clarity, reliability, scalability, and organizational calm.
Job Responsibilities:
Back-Office Ownership & Vendor Management
- Serve as the primary point of contact and internal owner for all back-office vendors, including Finance and Accounting services, IT and systems management and secondary point of contact for Human Resources.
- Manage vendor performance, scopes of work, renewals, and expansions.
- Ensure vendors are aligned with organizational needs, priorities, and growth trajectory.
Financial Management & Oversight
- Own internal financial administration including
- Budget coordination and monitoring
- Financial vendor oversight to ensure compliance and accuracy
- Cash-flow awareness and financial health tracking
- Translate financial information into clear, actionable insight for the Executive Director.
- Coordinate audit, review, or compliance activities as required.
- Present financial reporting to leadership team and Board, as needed.
Administrative Operations
- Own all general administrative functions, including:
- Office administration (virtual office setup, addresses, records)
- Contract administration and organizational documentation
- Oversee the structure, coordination, and completion of organizational policies and procedures across departments
- Oversee the structure, coordination, and execution of risk mitigation across the organization
- Oversee and perform office-manager-type responsibilities
Systems & Infrastructure Coordination
- Implement and coordinate organizational systems across IT platforms (email, file systems, collaboration tools); finance systems; and service delivery and CRM platforms.
- Ensure systems are documented, functional, secure, and scalable.
Cross-Functional Support & Coordination
- Provide administrative and operational strategy to departmental leaders.
- Aid in task management, note organization, and other administrative tasks as needed.
- Coordinate team strategy meetings and team travel as needed.
- Lead special projects as needed.
- Support operational decisions, service delivery, and training objectives.
Qualifications:
- Bachelor’s degree in an administrative-related field, such as nonprofit management, finance, business, etc.
- 5-7 years’ related experience in finance operations required, non-profit experience preferred.
- Comfortable working in a faith-based environment.
- Working knowledge of the Child Placing Agency and/or Child Welfare system, and experience with organizations that franchise or license their work to other organizations.
- Proficiency in use of various systems, such as, Microsoft Office, Asana, preferred
- Strong working knowledge of nonprofit administration and strategy, including risk management, contract review and compliance, special project management, etc.
- Experience coordinating audits, compliance activities, or financial reviews.
- Ability to translate complex financial and operational information into clear, actionable insights for executive leadership.
- High level of discretion and professionalism when handling sensitive financial, personnel, and organizational information.

Physical Demands
- Generally sedentary role; requires sitting for extended periods to work at a computer and conduct meetings.
- Ability to communicate clearly and professionally, both verbally and in writing.
- Must be able to occasionally lift and carry boxes or equipment weighing up to 10 pounds (e.g., office supplies, files).
- Requires occasional travel for board meetings, strategic planning, and more.
- Requires close visual acuity to perform activities such as preparing and analyzing data, viewing a computer terminal, and extensive reading.
- Repetitive motion associated with computer use, including typing and using a mouse.
