The Administrative Manager owns the corporate and office administrative operations: state business registrations and licensing, corporate insurance documentation, vendor contracts and corporate accounts, office operations, broker administrative onboarding, and supervision of administrative support staff. The position reports to the President, advising leadership on administrative matters.
What you'll do
• Own corporate compliance: every business registration, license, filing, and insurance renewal across two states, on one calendar you build and verify, with a standing target of zero missed deadlines.
• Be the owner and admin of record on for all our corporate systems and software programs.
• Owner of our corporate vendor contracts and subscriptions, document and track the renewals and make recommendations for improvements.
• Oversee daily office operations including reception coverage, mail and shipping, supply and equipment inventory and ordering, conference room and breakroom standards, and office systems and layout planning; personally provide front-desk coverage as needed.
• Documentation of all processes in a concise, easily accessible place is a necessity.
Experience you’ll need for success
• 3 years minimum of demonstrated experience running an office or administrative operations for a multi-person professional office, including ownership of recurring deadlines, vendor renewals, and staff support across full annual cycles. Experience managing a commercial real estate, property management or title/escrow office preferred.
• Hands-on experience with compliance-cadence administration: regulatory or state filings, licensing, insurance documentation, or equivalent deadline-driven work.
• Professional level Microsoft 365 user including being the administrator of record and demonstrated rapid competence in new software platforms. Previous experience using AI tools for administrative work.
• Experience supervising direct reports.
