Title: Medical Assistant | Outpatient Psychiatry

- $19-$23/hour - Placement within the range is based on certification, psychiatric experience, and prior specialty treatment experience.
Location: 1259 Lake Plaza Dr, Ste 200, Colorado Springs, CO 80906 (location subject to change based on the needs of the company)
Job Summary:
We are seeking a compassionate, detail-oriented, and organized Medical Assistant to support the psychiatric provider and Spravato (Esketamine) program patient care and administrative processes. This role involves direct patient interaction, medication administration, administrative support, and team coordination to ensure smooth day-to-day operations.
Key Responsibilities:
Medication Refills & Prior Authorizations
- Initiate, track, and follow up on prior authorization (PA) requests via platforms like CoverMyMeds or directly with insurers.
- Communicate PA status to providers, patients, and pharmacies.
- Process and document refill requests in the EHR; route to providers for review and approval.
- Schedule necessary follow-up appointments related to medication management.
Patient Care & Administrative Responsibilities
- Greet and check in patients, confirm appointments, and verify insurance and payment information.
- Collect and process co-pays and other payments, as needed.
- Obtain and document patient vitals in accordance with CPS protocols.
- Perform pre-charting and abstract patient charts, including reviewing prior records, referrals, labs, and relevant medical documentation in preparation for provider visits.
- Send, track, and ensure completion of patient screening tools in advance of appointments, following established protocols.
- Draft and prepare provider letters and forms as directed, ensuring accuracy and timely completion.
- Coordinate with the front office and clinical teams to support patient flow and appointment efficiency.
- Verify and process Release of Information (ROI) forms; retrieve/send records as needed, and notify relevant staff.
- Maintain accurate data in Electronic Health Records (EHR) and other internal tracking systems.
- Collaborate closely with providers, nurses, and administrative staff to deliver coordinated, high-quality care.
- Act as a liaison between patients and clinical staff, ensuring questions and concerns are addressed appropriately.
Spravato (Esketamine) Program
- Administer Spravato in accordance with physician orders and established protocols.
- Monitor and document patient vitals and well-being throughout treatment sessions.
- Educate patients on treatment expectations, side effects, and post-treatment care.
- Ensure the safety and comfort of patients during in-clinic treatments.
- Maintain clean, organized, and fully stocked treatment areas.
- Monitor and manage inventory of Spravato and related medical supplies; report needs to leadership.
Testing & Assessments
- Guide patients through computer-based cognitive testing processes.
- Ensure proper setup and completion of tests; upload results for provider review.
- Act as a liaison between patients and clinical staff, ensuring questions and concerns are addressed appropriately.

Qualifications:
Required:
- High school diploma or equivalent.
- QMAP within 30 days of start date.
- 1–3 years of experience in a medical office, clinic, or healthcare setting.
- Proficiency in electronic health records (EHR) and office productivity tools.
- Experience with patient scheduling and insurance verification.
- Competency in spreadsheets (Excel, Google Sheets).
Preferred:
- Registered/Certified Medical Assistant with valid certification.
- QMAP with valid certification.
- Associate degree or higher in Healthcare Administration or related field.
- Prior experience with Spravato administration or similar procedures (training provided).
- Familiarity with psychiatric patient care and medication management.
- Experience with CoverMyMeds or other PA platforms.
- Proficiency with Google Workspace (Docs, Sheets, Shared Drives).
- Military veteran or prior experience supporting military, government, or underserved populations.
Physical Demands
- Ability to stand or sit for extended periods.
- Occasional lifting of up to 20 lbs.
- Frequent use of close vision for reading charts, labels, and patient records.
