The Events Studio Specialist supports the overall operation of the studio, ensuring excellent customer service and assisting with daily tasks in the absence of the Manager or Assistant Manager. This role involves training and motivating staff to meet sales goals, handling customer concerns, and maintaining studio operations like inventory and safety. Additionally, the Events Studio Specialist collaborates closely with the Events Assistant Manager to help plan and execute events and parties, contributing to promotions, event logistics, and staff training, while ensuring smooth and successful events.

The Events Studio Specialist supports the overall operation of the studio, ensuring excellent customer service and assisting with daily tasks in the absence of the Manager or Assistant Manager. This role involves training and motivating staff to meet sales goals, handling customer concerns, and maintaining studio operations like inventory and safety.  Additionally, the Events Studio Specialist collaborates closely with the Events Assistant Manager to help plan and execute events and parties, contributing to promotions, event logistics, and staff training, while ensuring smooth and successful events.


In addition to daily studio associate responsibilities, the Studio Specialist will also:

  • Uphold and model all policies within the Policy and Procedure Manual. 
  • Motivate, train and mentor staff in order to reach processing efficiency and/or exceed sales goals 
  • Foster a sense of teamwork
  • Have more than a basic knowledge of glazing, kiln loading, and the functions of kilns. 
  • Promote events, and party packages and help with the smooth operation and success of such events
  • Work with Management in creating exciting and robust sales programs that engage the sales associates, drive increased sales, and are measurable
  • Proactively communicate and report to the Studio Manager and Owner and is expected to respond to and act upon given direction from Management. 
  • Be willing to assist with monthly staff meetings. Must be able to attend staff, sales, and training meetings as scheduled.
  • Be responsible for supervising opening and/or closing duties
  • Be able to resolve customer complaints in the absence of the Assistant Manager or Studio Manager
  • Be able to recognize a need and delegate tasks at hand
  • Answers customers' questions if other employees can't answer. Takes customer complaints and handles them or contacts the Assistant Managers for direction
  • Maintain company safety standards/housekeeping and be proactive in safeguarding all studio assets  
  • Perform other duties that may be needed


Parties & Events Focus:


  • Coordinates smooth execution of birthday parties and events 
  • Communicates with customers on party inquiries when Assistant Manager - Events Coordinator is absent
  • Responsible for Asana Party checklist update
  • Responsible for Asana Group Reservation checklist update
  • Responsible for the flow of fired ceramics ensuring timely delivery of party items
  • Promotion of parties and events in-studio (chalkboards, calendars, flyers, table toppers) 
  • Collaboration with Marketing Team to help create digital material for social media
  • Training and development on parties with new hires, continual training with staff
  • Studio events continuous training with staff 
  • Weekly participate in in Events Meeting and updates to the Events Assistant Manager about events/parties requests and party inventory


Weekly inventory update 

  • Updates party inventory every week and orders needed supplies


Operations:

  • Communicates to Team Leader about pottery items customers request and items that we need to re-order
  • Oversees that shelves are properly stocked, priced and orderly (or assigns staff) 
  • Ensures that items are received timely, unboxed, and put in shelves ( along with staff)
  • Ensures that staff reports broken items to the Owner for credits/refunds from vendors


All staff members at our studio receive hourly pay plus tips. Hourly disclosed here is a conservative estimate. Events and parties create great potential for added tips as they are paid to the staff running the party directly. Each employee is in charge of creating more income by doing more parties, especially during the Holidays.


WORKING CONDITIONS / PHYSICAL REQUIREMENTS

The Events Studio Specialist position is a full-time position that requires a minimum of 30 hours for full time. This position requires to stand for hours, walk, bend, squat, reach above shoulder, lift boxes or inventory items up to 50 pounds.
