Position Summary:

We are seeking a highly organized and detail-oriented Title Clerk / Office Administrator to join our team at Clutch. The ideal candidate will be responsible for managing vehicle titles and administrative tasks, ensuring accuracy and compliance in all transactions. This role requires a blend of skills in title management, accounting practices, data management, and customer service.

Key Responsibilities:

  • Process, manage, and file vehicle titles, ensuring timely and accurate submission to relevant parties.
  • Utilize QuickBooks Online or similar accounting software for financial tracking, invoicing, and reporting.
  • Maintain and update records within HubSpot CRM, ensuring accurate data management and efficient customer relationship management.
  • Perform administrative tasks including, but not limited to, document preparation, data entry, and office organization.
  • Liaise with consumers, dealers, and auto brokerages to resolve any title or administrative issues.
  • Prepare and submit reports and presentations as required, utilizing Microsoft Excel and other office tools.
  • Support the team with additional tasks and projects as needed, demonstrating flexibility and a collaborative attitude.
  • Process and create purchase contracts for vehicles, ensuring accuracy and compliance with legal and company standards.
  • Handle all DMV paperwork related to vehicle transactions, including registrations and title transfers.


  • Proven experience as a Title Clerk, Office Administrator, or similar role, with direct exposure to vehicle title management (preferred)
  • Proficiency in QuickBooks Online or similar accounting software, with a solid understanding of basic accounting principles.
  • Exposure to Microsoft Excel and HubSpot CRM (or similar platforms).
  • Strong organizational skills and attention to detail, with the ability to manage multiple tasks and deadlines effectively.
  • Excellent communication and interpersonal skills, with a customer-focused approach to problem-solving.
  • A proactive and collaborative team player, capable of working independently when required.
  • Knowledge of the automotive industry and title processing regulations is highly preferred.
