Role Mission Statement

The Sales Operations and CRM Specialist is pivotal in bridging the gap between Sales, Operations, and Marketing, ensuring seamless workflows, tool optimization, and enhanced sales productivity. This role requires ownership of our CRM system, driving data-informed strategies, and fostering cross-departmental alignment to ensure operational excellence.


Core Responsibilities

Operational Strategy & Workflow Optimization

  • Act as the primary liaison between Sales, Operations, and Marketing to align workflows and processes.
  • Oversee HubSpot CRM, managing automations, reporting, and integrations (e.g., Shopify, Monday.com, and other apps).
  • Identify and resolve inefficiencies in sales and operational workflows using automation and process standardization.

Sales Enablement & Reporting

  • Develop and present reports on key sales metrics (e.g., conversion rates, client engagement, deal stage progress).
  • Establish and implement account management rules, including outreach criteria and resource allocation.
  • Manage incentive structures and calculate monthly commissions to encourage desired sales behaviors.
  • Track and analyze key performance indicators, providing actionable insights for optimization.

Marketing Integration

  • Collaborate with the Marketing team to guide campaign spending based on sales performance and engagement data.
  • Ensure cohesive client outreach strategies to maximize conversions while avoiding over-contacting.

Training & Support

  • Train and support the Sales team on CRM tools, sales best practices, and data-driven decision-making.
  • Develop and maintain playbooks and SOPs for CRM usage, sales workflows, and tool integrations.

Technology Management

  • Oversee integration and automation of third-party tools (e.g., Zapier, Shopify, Plytix) into HubSpot.
  • Conduct annual audits to ensure data cleanliness, workflow accuracy, and system scalability.


Qualifications

Experience & Expertise

  • 3-5 years in sales operations, CRM management, or a similar role.
  • Proven experience managing and scaling mid-sized sales teams.
  • Deep expertise with HubSpot and automation tools like Zapier.
  • Strong track record of identifying and resolving process inefficiencies.

  • Technical Proficiency: Mastery of CRM systems and integrations (e.g., HubSpot, Shopify, Monday.com).
  • Data Analysis: Strong analytical skills for evaluating performance metrics and generating actionable insights.
  • Project Management: Exceptional organizational skills to manage multiple priorities simultaneously.
  • Communication: Strong interpersonal skills for cross-departmental collaboration.
