The Production Assistant supports the Production Department by assisting Production Managers and Account Executives in the planning, coordination, and execution of events. This role is ideal for individuals beginning their career in event production who want hands-on experience across all technical and logistical functions. The Production Assistant contributes to document preparation, communication, scheduling, logistics, warehouse coordination, and onsite support. The Production Assistant plays a key role in keeping projects organized, deadlines met, and information flowing clearly between departments. They work under the guidance of the Director of Production and actively support Production Managers throughout every phase of an event.

Qualifications

  • 1–2 years of experience in live event production, AV, theatre, Church AV, or a related field (internships or freelance experience acceptable).
  • Basic understanding of audio, lighting, video, rigging, scenic, or staging systems (willingness to learn required).
  • Proficiency with Google Workspace, and ability to learn project management software.
  • Willingness to learn CAD software
  • Strong organizational skills with high attention to detail.
  • Excellent written and verbal communication.
  • Ability to multitask, prioritize, and work in fast-paced environments.
  • Willingness to travel and work evenings/weekends as needed.

Core Collaboration

  • Work closely with Production Managers to support all technical and logistical aspects of assigned projects.
  • Assist Account Executives by gathering information, preparing documentation, and helping maintain client-ready materials.
  • Coordinate with the Warehouse Team, Creative Team, and internal departments to ensure accuracy and alignment throughout the production lifecycle.
  • Communicate regularly with the Director of Production regarding task progress, challenges, and workload.

Primary Responsibilities

1. Project Support (Planning → Execution → Wrap)

  • Assist Production Managers with day-to-day project tasks and organization.
  • Help maintain production schedules, workflows, and shared documents.
  • Take notes during internal meetings, client calls, and production meetings.
  • Support the creation of timelines, run-of-show documents, and task lists.

2. Documentation & Technical Materials

  • Assist with building, updating, and formatting CAD drawings, plots, and technical documents (no CAD experience required—training provided).
  • Prepare show packets, PDFs, crew calls, and supporting materials for internal and external teams.
  • Ensure all project files are organized, named correctly, and accessible.

3. Crew & Staffing Assistance

  • Help gather crew availability, confirm call times, and send logistics details.
  • Maintain crew tracking and assist with onboarding paperwork as needed.
  • Support Production Managers with day-of onsite crew coordination tasks.

4. Gear, Prep & Warehouse Coordination

  • Support the process of creating pull sheets and equipment lists.
  • Assist with gear prep, labeling, case management, and pre-build tasks when needed.
  • Coordinate with warehouse staff regarding load schedules, returns, and cross-rental pickups.

5. Logistics & Transportation

  • Support the creation of trucking schedules, vehicle planning, and load-in/out logistics.
  • Assist with coordinating rentals (lifts, specialty tools, equipment).
  • Help track equipment movements, shipping details, and venue logistics.

6. Onsite Event Support

  • Assist Production Managers during load-in, rehearsals, show runs, and load-out.
  • Help check in crew, organize paperwork, distribute radios, and support communication flow.
  • Execute assigned tasks such as labeling, cable running, backstage organization, or hospitality support.

7. Administrative Support

  • Maintain updated project folders, internal databases, and tracking sheets.
  • Assist with expense tracking and gathering receipts from crew and PMs.
  • Help with vendor communication, follow-ups, and organizing quotes.

8. Post-Show Support

  • Assist in collecting and compiling post-show notes, crew ratings, and documentation.
  • Help track changes from the event for billing accuracy and internal review.
  • Participate in post-show and internal improvement meetings.

Additional Responsibilities

  • Participate in ongoing departmental training and skill development.
  • Help improve documentation templates, workflow systems, and communication processes.
  • Support various internal initiatives and assigned tasks from the Director of Production.

Salary
