The Administrative Assistant / Personal Assistant will act as the right hand to our CEO, providing high-level administrative support and ensuring smooth day-to-day operations. This position requires discretion, initiative, reliability, and the ability to handle a wide range of tasks in a fast-paced environment. No two days are the same—and that’s part of the fun!

Description

Duties:

  • Manage and maintain the CEO’s calendar, schedule meetings, and coordinate travel
  • Screen calls, emails, and other correspondence; prioritize and respond as appropriate
  • Handle email inboxes and following up on important items
  • Assist with clerical tasks such as organizing documents, to-do lists, filing, data entry, and special projects
  • Support event planning efforts by coordinating logistics, materials, and communications for events
  • Helping prepare materials or reports for meetings and events
  • Liaising with staff, vendors, and partners on behalf of the CEO
  • Supporting internal communications and task management
  • Handle occasional personal errands, appointments, and household-related tasks
  • Maintain confidentiality and professionalism at all times

Qualifications:

  • Proven experience as an executive assistant, administrative assistant, or personal assistant (3+ years preferred)
  • Are ultra-organized, detail-oriented, reliable with exceptional time-management skills
  • Strong written and verbal communication
  • Tech-savvy (Microsoft Office, Google Workspace; bonus if familiar with tools like Canva, Gusto, or XOLA)
  • Are flexible, adaptable, and enjoy a fast-paced, sometimes unpredictable environment
  • Discretion and ability to manage sensitive information
  • Ability to multitask, prioritize responsibilities, and work independently in a fast-paced environment.
