Client Operations Specialist

Classroom Mosaic is seeking an outstanding Client Operations Specialist who wants to be part of a rapidly expanding, high-impact EdTech company.


As a Client Operations Specialist, you need to be a flexible and detail-oriented individual who can execute the day-to-day operations of our Client Success and Growth departments. You will be responsible for supporting other team members and executing various tasks to ensure our clients are successful.

Responsibilities

This role will be dynamic throughout each year and as the company grows. While this list is not exhaustive, here are a few examples of what you will be working on:


Client Support

  • Oversee implementation projects and facilitate communication with clients
  • Ensure we will meet required timelines and due dates for all clients
  • Assist customers with general inquiries and support requests
  • Create training documentation and presentations


Billing & Payments

  • Generate quotes and invoices for clients and prospective clients
  • Process payments
  • Activate paid accounts
  • Follow-up on outstanding invoices


Sales Enablement

  • Conduct prospect research
  • Coordinate conference planning, registration, and travel logistics
  • Research event attendees and identify prospective targets
  • Review inbound RFPs to help validate fit and likelihood of success
  • Assist with developing client proposals


Administrative

  • Send follow-up emails, coordinate meetings, and prepare for events.
  • Create care packages with personalized notes
  • Assist with business/tax license and registration forms


Process & Systems Management

  • Become proficient with internal tools and systems to help streamline project management, communication, and reporting
  • Document internal and external processes to ensure consistency and accuracy


Other

  • Will go above and beyond to support our clients and grow the business, including occasionally shifting work hours earlier or later to collaborate with strategic partners, clients, and sales team members located across the US


Skills & Requirements

  • Experience learning complex internal systems and gaining proficiency quickly
  • Strong analytical and problem-solving skills, including problem identification, analysis, action planning, and execution
  • Ability to work in fast pace and high-growth environment
  • Experience managing complex, technical projects
  • Proven ability to implement, execute, multi-task, and meet aggressive deadlines
  • Ability to build relationships across multiple departments and externally with customers
  • Excellent organizational skills to monitor and prioritize multiple activities at once
  • Self-motivated, with the ability to work with minimal supervision
  • Interested in and able to inspire the team to take things to the next level
  • Demonstrated advanced communication skills (verbal, written, and presentation)
  • Customer-facing experience with an outstanding customer service attitude
  • Proficiency in Google Workspace/Microsoft Office, especially Google Sheets/Excel
  • Flexibility and ability to adjust on the fly to new demands; a high sense of urgency
  • Ability to conduct analyses and translate results to easily digestible communications, including messages and presentations



Education and/or experience

  • Bachelor’s Degree (preferred)
  • 3-5 years experience in a role such as sales operations/enablement, technical project management, customer support, marketing, or executive assistant
  • K-12 teaching or education experience is a plus



Interpersonal Skills

  • This position requires good interpersonal skills and the ability to communicate effectively with individuals at all levels within and outside the company. This applies to written and verbal interactions as well as competency in using the intranet, internet, email, and instant messaging systems.
  • Must have a get-it-done, however necessary, personality


Reasoning Ability

  • Ability to apply common sense understanding to carry out instructions furnished in written, verbal, or schedule form
  • Sound judgmental skills
  • Must demonstrate effective time management and project management skills, show timely follow-up, and consistently meet deadlines



Technical Skills

  • Must be confident with technology and have proficient typing skills
  • Able to learn and navigate new applications quickly
  • Experience with Mac preferred



Physical Requirements

  • Must be able to lift and manipulate up to 15 - 30 lbs pounds



Work Environment

  • Office environment with conference, meeting, and break rooms.
  • Occasional travel for conferences, client meetings, and retreats
  • Operates under direct supervision with frequent reviews of work and, at times, with minimal supervision
  • This position will be based in Irmo, SC, but remote work from anywhere in the continental US is possible.
