The Role

Cascadia School is seeking an Office Manager to be the operational backbone and welcoming presence for our community. You’ll keep the school running smoothly through efficient logistics, proactive problem-solving, and authentic connections. You will manage our front-of-house experience while strengthening relationships with current families, vendors, and internal staff. This role is the operational glue that allows our team to focus on our mission, ensuring that every daily touchpoint reflects our values and supports our community throughout their journey with us.


The ideal candidate is an organized administrator with a hospitality mindset who can effortlessly juggle front-of-house experiences, manage vendor contracts and facilities logistics, and proactively create administrative systems that work.


Breakdown of What You'll Do

Front Desk & Community Experience (40%)

  • Serve as the primary point of contact for families and external partners, embodying Cascadia's values in every interaction.
  • Operate the front desk warmly and efficiently, answering inquiries over the phone/email and welcoming guests.
  • Support day-to-day operations across the administrative team, faculty, and student body.
  • Oversee the master school calendar, scheduling and coordinating school events, activities, and meetings.

Facilities & Vendor Management (40%)

  • Ensure that Cascadia's facilities are maintained to a high standard, directly coordinating repairs, routine maintenance, and cleaning services.
  • Manage relationships with external vendors, facilitating contracts and ensuring timely, high-quality delivery of services.
  • Procure and manage inventory for general office supplies and specific classroom materials to support faculty needs.
  • Continuously evaluate and improve internal office operations, identifying friction points and recommending solutions.

Administrative Support & Project Coordination (20%)

  • Support planning and execution of 2–3 major community events annually alongside school leadership.
  • Maintain accurate operational data, files, and administrative logs to ensure seamless school operations.
  • Collaborate with leadership on school safety protocols, operational guardrails, and logistics strategy.

  • Facilities & contract acumen – you have a proven track record managing facility logistics, coordinating vendor relationships, and navigating service contracts. You understand how to vet agreements, hold vendors accountable, and ensure high-quality execution.
  • Systems-builder & innovator – you don't just maintain existing processes; you spot inefficiencies, take initiative, and proactively build smart, durable administrative systems that make operations smoother for everyone.
  • Organizational & detail mastery – you can gracefully juggle an active front desk, incoming inquiries, and long-term projects without letting details fall through the cracks.
  • Collaborative communicator – you possess exceptional interpersonal skills, a professional demeanor, and a collaborative work style that builds trust across faculty and families alike.
  • 3+ years of experience in hospitality management, corporate facilities, luxury retail management, or high-level office administration.


Experience in the education sector is helpful but not required. We highly value transferable skills from the hospitality and property management realms and will gladly teach you about school-specific operations.


Salary & Benefits

  • Salary: $50,000-$65,000 (depending on experience)

Hours & Schedule

Typical working hours are 8:00am to 4:00pm Monday through Friday with some variability based on the school calendar. There will be occasional times when hours differ due to school events or meetings, but these shifts will always be communicated well in advance.
