Carbon Mapper is a non-profit organization based in Pasadena, CA with the mission to drive greenhouse gas emission reductions by making methane and carbon dioxide data accessible and actionable. We leverage remote sensing technology to detect, pinpoint, and quantify methane and carbon dioxide (CO2) emissions at the scale of individual facilities. All of our methane and CO2 data is made publicly available for non-commercial use on our Carbon Mapper Data Portal to provide decision makers with the information they need to prioritize and take mitigation action.

Position Summary
The Administrative Coordinator will play a key role in providing support to the Impact and Communications Teams, ensuring the smooth functioning of day-to-day administrative tasks and improving operations efficiency. This role involves performing a wide range of complex and confidential administrative support duties which require strong organizational skills, responsiveness, effective prioritization, and attention to detail.
Essential Duties and Responsibilities
The essential functions include, but are not limited to the following:
• Project Management:
o Assists with the implementation of department or team projects, systems,
procedures, and policies in accordance with management directives.
o Manage workflows and ensure deadlines are met.
o Implement and improve policies and procedures as needed.
o Aid in budget preparation.
o Manage the team’s annual performance review process.
o Handle sensitive information with discretion and maintain confidentiality.
• Document Management:
o Create, organize and manage the department’s records, databases and electronic filing system.
o Ensure that document management practices comply with company policies and relevant laws, regulations, and industry standards.
• Research and Data Gathering:o Conduct research.
o Assist in the preparation of reports, presentations, spreadsheets, correspondence and other documents.
o Draft and edit correspondence as needed.
• Calendar Management:
o Manage and coordinate department/team schedules and meetings.
o Daily tracking of team members’ work hours to input into the company’s time- tracking system.
• Communication:
o Handle incoming and outgoing communications, including emails, phone calls, and correspondence.
o Facilitate communications between internal departments and external parties.
o First point-of-contact for department administrative matters or other inquiries.
• Meeting Coordination:
o Setting up and coordinating internal and external meetings, conference calls and staff gatherings, including preparing agendas, taking minutes, and following up on action items.
o Coordinate and manage logistics for meetings or company events, including
preparing materials, securing meeting venues, and assessing technology and
food/beverage needs.
• Travel Coordination:
o Assist with planning and organizing travel arrangements, including flights,
accommodations, and ground transportation.
o Upload department head travel receipts into company’s credit card platform.
• Other Duties:
o Assist other departments/teams and office staff as needed.
o Assist with planning companywide events.
o Provide training and support to team members when company systems or
procedures are newly implemented.
o Other duties within scope of the position as required.
Minimum Qualifications (Knowledge, Skills, and Abilities)
Must-Have Skills & Experience
• 5 - 6 years of proven experience in an administrative role
• Effective written/verbal communication and interpersonal skills
• Ability to prioritize tasks and manage workload efficiently
• Proficiency in Google Workspace and MS Office suite (Word, Excel, PowerPoint, Outlook) and other office management software tools
• Strong organizational and multitasking abilities
• Ability to work independently and as part of a team
• Strong attention to detail and problem-solving skills
• Ability to handle confidential information responsibly
• Customer-service orientated
• Knowledge of basic bookkeeping and budgeting procedures

Location
Carbon Mapper is headquartered in Pasadena, California, but we embrace the virtual office and are continuing to grow our team across the United States. In order to support their client teams effectively, the Administrative Coordinator will be hired in the Central or Eastern time zones.
Compensation
The total compensation for this opportunity includes a base salary range of $50,000 - $70,000/year. This is our target compensation range and is subject to multiple factors including level, experience, and location. As you go through our interview process, our recruiter will work with you to identify a competitive base salary within the proposed range.
