About California Hot Springs Resort

California Hot Springs Resort is the steward of 250 acres of sacred land in California’s Sierra Nevada Mountains, home to nine natural hot springs that have flowed for millennia.


This is more than a hospitality venture. It is a calling to honor what this land has always been: a place of healing, transformation, and connection.


Our multi-year vision is coming to life as we prepare to open 13 pools of pristine geothermal water, farm-to-table dining, restorative spa services, and, ultimately, an intentional residential community rooted in regenerative agriculture and water stewardship.


We approach every decision through our guiding principle:

We are approximately six months from opening and fully immersed in construction and pre-opening operations for this transformative project.


The Role

This is not a traditional administrative position.


The Executive Assistant to the General Manager is a strategic partner and operational amplifier. You will work directly with the GM to expand his capacity, manage critical project coordination, and ensure vision becomes executable reality.

This role requires someone both highly competent and deeply grounded,  capable of navigating construction timelines, investor updates, vendor negotiations, and ceremony planning with equal presence.


You are here to make sure nothing falls through the cracks, and that everything moves forward with excellence.


Core Areas of Responsibility

1. Executive Partnership & Strategic Support

  • Manage and optimize the General Manager’s calendar, priorities, and time allocation
  • Assist with email management, including inbox organization, drafting responses, and ensuring timely follow-up
  • Support coordination between the GM and internal teams, vendors, stakeholders, and co-owners
  • Assist with grand opening planning and soft launch readiness

2. Project Management & Operational Execution

  • Track all major initiatives led by the GM to ensure deadlines, deliverables, and next steps are met
  • Organize documentation including permits, compliance materials, contracts, and regulatory requirements
  • Anticipate bottlenecks and proactively solve issues before escalation
  • Prepare agendas, meeting notes, and action-item summaries
  • Coordinate across departments to ensure alignment and accountability

3. Vendor & Stakeholder Coordination

  • Support communication with contractors, consultants, legal counsel, and vendors
  • Track vendor commitments, timelines, contracts, and deliverables
  • Support negotiations and sensitive communications with professionalism and discretion
  • Ensure cross-department collaboration remains clear and efficient

4. Systems Optimization & Continuous Improvement

  • Identify inefficiencies and recommend process improvements
  • Implement systems that support clarity and speed in a fast-moving startup environment
  • Support special projects as the resort evolves

Qualifications & Experience

  • 3+ years in project coordination or executive assistance 
  • Strong independent problem-solving skills and sound judgment
  • Exceptional written and verbal communication skills
  • Ability to manage multiple projects simultaneously
  • Highly detail-oriented with rigorous follow-through
  • Discreet and professional when handling sensitive information
  • Adaptable, calm under pressure, and capable of navigating ambiguity
