Position Overview
We are seeking a professional, organized, and personable Front Desk Receptionist to manage daily front office operations and create an exceptional patient experience. This role is essential in ensuring smooth scheduling, strong patient communication, and supporting practice growth through service education and booking conversions.
Key Responsibilities
Patient Experience
- Greet and check in/out patients in a professional and welcoming manner
- Maintain a clean, organized, and elevated front office environment
- Ensure a seamless and positive patient journey from arrival to checkout
Scheduling & Administrative Duties
- Schedule and manage appointments using electronic medical records (Aesthetic Record)
- Confirm appointments and manage schedule optimization
- Collect payments, deposits, and maintain accurate patient records
- Verify and maintain payment methods on file
Communication
- Answer phone calls, texts, and patient inquiries promptly and professionally
- Provide accurate information regarding services, pricing, and policies
- Respond to patient questions and assist with booking
Sales & Conversions
- Educate patients on services, memberships, and skincare products
- Promote and explain membership options (Tox Membership, Beauty Bank, Desert Babe)
- Assist in converting inquiries into booked appointments
Policy Enforcement
- Enforce clinic policies including 72-hour cancellation policy and no-show fees
- Ensure all patients have required forms completed prior to appointments
Qualifications
- Strong communication and customer service skills
- Ability to multitask and stay organized in a fast-paced environment
- Comfortable discussing pricing and recommending services
- Basic computer skills and ability to learn EMR systems
- Previous front desk, medical office, or customer service experience preferred (not required)
Preferred Experience
- Experience in medical aesthetics, dermatology, or med spa setting
- Familiarity with scheduling software or EMR systems
- Sales or retail experience
