Position Overview
This role is designed to support day-to-day labor coordination, collaborating with the Bright AV Project Managers by centralizing labor communication, confirmations, documentation, and enforcement of Bright AV labor standards. The Labor Coordinator serves as the point of contact for freelance technicians and works closely with Project Managers, Operations, and Finance to ensure events are properly staffed, compliant, and on budget.
This position is ideal for someone who is highly organized, assertive, responsive, and calm under pressure - with a strong ability to manage logistics, communicate clearly, and handle fast-moving situations in live production environments.
Key Responsibilities
Labor Booking & Coordination (40%)
- Source, book, and confirm freelance AV labor (A1, A2, V1, lighting, LED, camera, set/strike, etc.) across U.S. markets.
- Maintain and update a national freelance labor roster, including availability, rates, and market notes.
- Serve as the primary point of contact for freelance labor communication via email, text, and phone.
- Ensure labor bookings align with show scope, schedule, and approved budget targets.
- Track confirmations, call times, and last-minute changes accurately.
Standards Enforcement & Support (25%)
- Enforce Bright AV labor standards, booking procedures, and documentation requirements.
- Support rate negotiations within approved ranges; escalate exceptions when appropriate.
- Act as a neutral “bad cop” when enforcing policies to protect Project Manager relationships.
- Ensure consistent application of overtime, turnaround, and billing rules.
Show Support & Escalation Management (20%)
- Monitor upcoming shows for staffing risk and flag concerns proactively.
- Respond quickly to sick calls, no-shows, and last-minute labor changes.
- Coordinate replacement labor under tight timelines during show windows.
- Support Project Managers during high-pressure load-in and event periods.
Operations & Administration (15%)
- Maintain clean labor documentation within Bright AV systems and shared tools.
- Support accurate labor invoicing, confirmations, and 1099-related coordination.
- Partner with Finance to resolve payment discrepancies and documentation issues.
- Ensure clear handoffs and communication between labor, PMs, and internal teams.
Qualifications
- Based in Mexico or Colombia.
- 3–5+ years of experience in operations coordination, staffing, production support, or a related role.
- Strong written and verbal communication skills (English required).
- Highly organized, detail-oriented, and process-driven.
- Comfortable handling multiple priorities in fast-paced, deadline-driven environments.
- Confident in communicating with freelance vendors and enforcing standards professionally.
- Tech-savvy with comfort using tools such as Google Workspace, Slack, spreadsheets, and scheduling systems.
- Ability to work flexible hours aligned with U.S. event schedules (early mornings or evenings as needed).
