Job Summary

We are a family-owned moving and storage company looking for a dedicated Office Manager to join our team. The Office Manager will be responsible for overseeing the day-to-day operations of our office, including managing administrative tasks, handling customer inquiries, and ensuring the smooth running of the office.


Experience with QuickBooks and Microsoft Office, as well as excellent organizational skills, are required for this role. Experience in the moving industry is a plus, but not required.


Salary: Competitive Salary Based on Experience


Key Responsibilities

Customer Service:

- Answering inbound calls from customers and vendors

- Providing information about our services and addressing customer inquiries

- Scheduling appointments for moving services


Administrative Tasks:

- Managing office supplies and ensuring the office is well-stocked

- Handling data entry, filing, and document management

- Maintaining organized records and files


Payroll Management:

- Processing weekly employee payroll accurately and in a timely manner

- Resolving any discrepancies and maintaining payroll records


Invoicing and Financial Management:

- Sending invoices to clients for completed work

- Tracking payments and following up on outstanding invoices

- Using QuickBooks to manage financial records and transactions


Software Utilization:

- Utilizing QuickBooks for invoicing tasks

- Using Microsoft Office and/or Google Office applications for administrative tasks

- Familiarity with Gusto payroll software and ability to learn and utilize various proprietary software


Additional Responsibilities:

  • Social media management posting to Facebook and Instagram. 

(This is not currently part of the role, but candidates with experience managing social media pages will be given additional consideration.)  


Requirements

- Proven experience as an Office Manager or in a similar administrative role

- Proficiency in QuickBooks, Microsoft Office, and/or Google Office applications

- Strong organizational and multitasking abilities

- Excellent verbal and written communication skills

- Attention to detail and problem-solving skills

- Ability to work independently and as part of a team

- Experience in the moving industry is a plus, but not required


Education

- High school diploma or equivalent required

- Additional qualifications in office administration or a related field are a plus
