Salary Range: $14-$16/hour Reports to: Director of Impact


Supervisory responsibilities: None


Schedule: Monday – Friday | 10:30am – 6:30pm


Summary/objective: The Office Coordinator serves as the primary point of contact for families, members, volunteers, and visitors at the Club. This position is responsible for supporting daily front office operations, managing member records and attendance systems, assisting families with registration, supporting volunteer check-in, and overseeing office and cleaning supply inventory. This role ensures the Club operates in an organized, efficient, and welcoming manner.

  • Every staff member is expected to cultivate and maintain positive donor, member, and community relationships.

Member & Family Services

  • Greet and assist parents, members, visitors, and volunteers in a friendly, professional manner
  • Answer and route incoming phone calls
  • Assist families with member registration and enrollment processes
  • Provide general information about Club programs and services

Attendance & Data Management

  • Maintain accurate member records in MyClubHub
  • Check members in and out daily
  • Support attendance tracking and basic reporting
  • Ensure accuracy and confidentiality of member data
  • Front Office & Administrative Support
  • Retrieve and distribute mail from the PO box
  • File, organize, and maintain office records
  • Assist with general administrative tasks as needed
  • Maintain a clean, organized, and welcoming front desk area

Volunteer Support

  • Assist with volunteer sign-in and check-in procedures
  • Maintain volunteer logs and records
  • Support basic volunteer onboarding documentation

Inventory & Supply Management

  • Monitor and maintain office and cleaning supply inventory
  • Track supply usage and identify reorder needs
  • Place or recommend supply orders as needed
  • Ensure essential supplies are stocked for daily Club operations


Work environment: Able to stand and/or walk up to 75% of time. Could require running and expended periods of standing and walking. Able to sit up to 25% of the time. Able to view a computer monitor daily. Some travel may be required in company or personal vehicle. Must be able to lift up to 50 pounds at times. This role is an on-site position and is not eligible for WFH or hybrid work.

  • Employee required to possess a valid driver’s license and is occasionally required to transport members in a company vehicle.
  • Proof of vehicle insurance is required.
  • Mandatory to attain (within 6 months) and keep current CPR and first aid certifications.

Education and/or Experience

  • High School diploma or GED is required as is experience working with youth, ages 6-18.
  • One to three (1-3) years prior childcare experience is preferred.
  • General knowledge of and experience working with at-risk populations is preferred.
  • Effective verbal and written communication skills are necessary, as are excellent interpersonal skills with youth and management.
  • Time management skills are required.
  • Working knowledge of computers and systems is required, including and not limited to, Microsoft products such as Word (or similar product knowledge).
  • High level of confidentiality and professionalism are required.
