The Front Desk Associate is the first point of contact for patients and visitors at the Neurological Rehabilitation Clinic. This position is responsible for providing exceptional customer service, managing front desk operations, scheduling appointments, and maintaining patient records.

Key Responsibilities:


1. Patient Reception and Customer Service:

  - Greet and assist patients, visitors, and staff in a professional and friendly manner.

  - Answer incoming calls, respond to inquiries, and direct calls to appropriate personnel.

  - Provide information about clinic services, hours, and policies.


2. Appointment Scheduling:

  - Schedule and confirm patient appointments using the clinic’s scheduling software.

  - Coordinate appointment reminders and follow-up calls to reduce no-shows.

  - Manage rescheduling and cancellations efficiently to optimize the clinic’s appointment calendar.


3. Patient Records Management:

  - Accurately enter and update patient information in the electronic medical record (EMR) system.

  - Maintain confidentiality and security of patient records in compliance with HIPAA regulations.

  - Prepare and organize patient files for appointments.


4. Billing and Payments:

  - Collect and process patient payments, co-pays, and insurance information.

  - Assist patients with billing inquiries and provide information on payment options.

  - Reconcile daily cash receipts and prepare deposit slips.


5. Administrative Support:

  - Assist with administrative tasks such as filing, faxing, scanning, and photocopying.

  - Manage office supplies and ensure the front desk area is tidy and organized.

  - Assist clinical staff with administrative needs as required.


6. Insurance Verification:

  - Verify patient insurance coverage and benefits prior to appointments.

  - Obtain necessary pre-authorizations and referrals for treatments.


7. Communication and Coordination:

  - Communicate effectively with clinical and administrative staff to ensure smooth operations.

  - Coordinate with other departments and external providers as needed.


8. Problem Solving:

  - Address and resolve patient concerns and complaints in a professional and timely manner.

  - Escalate issues to the Office Manager/Clinic Administrator when necessary.


Qualifications:


- High school diploma or equivalent; additional education or certification in office administration or medical billing is a plus.

- Previous experience in a healthcare setting, preferably in a rehabilitation or neurology clinic.

- Proficiency in using electronic medical record (EMR) systems and office software (e.g., MS Office).

- Strong interpersonal and communication skills.

- Ability to multitask and prioritize tasks in a fast-paced environment.

- Knowledge of medical terminology and billing procedures.

- Understanding of HIPAA regulations and patient confidentiality.


Physical Requirements:


- Ability to sit, stand, and walk for extended periods.

- Ability to lift and move office supplies and equipment (up to 20 pounds).


Work Environment:


- This position operates in a professional clinic environment.

- May require occasional evening or weekend work.

Salary

$15 - $20 per hour
