Job Summary:

We are seeking an experienced and proactive Executive Assistant to provide high-level support to the CEO of our employment law firm. This role is ideal for someone who thrives in a fast-paced environment, excels at managing competing priorities, and can function as a trusted partner to ensure the CEO remains organized, informed, and focused on driving the firm’s success.


Key Responsibilities:

Organizational Support:

  • Manage the CEO’s inbox by sifting through emails and messages to identify, prioritize, and highlight important items requiring attention or action.
  • Maintain and update the CEO’s calendar, scheduling appointments, meetings, and travel while ensuring efficient time management.
  • Serve as a gatekeeper by managing access to the CEO and protecting their time.

Communication Management:

  • Draft, proofread, and respond to correspondence on behalf of the CEO.
  • Liaise with internal teams and external contacts, ensuring timely and accurate communication.
  • Anticipate the CEO’s needs by proactively gathering information and preparing for meetings or events.

High-Level Administrative Tasks:

  • Conduct research and provide summaries or recommendations to assist the CEO with decision-making.
  • Track action items and deadlines, ensuring follow-ups and deliverables are completed on time.
  • Oversee and manage special projects as assigned by the CEO.

Personal Assistance Duties:

  • Handle personal errands and tasks, such as coordinating family schedules, managing household logistics, and making personal travel arrangements.
  • Assist with planning and organizing events or gatherings, both professional and personal.


Qualifications

  • Experience: At least 5 years of experience as an Executive Assistant, preferably supporting C-level executives.
  • Education: Bachelor’s degree preferred but not required.
  • Skills:
  • Exceptional organizational and multitasking abilities.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and other productivity tools.
  • Ability to anticipate needs, think critically, and offer proactive solutions.
  • High level of professionalism, confidentiality, and discretion.


Salary

$85,000 - $120,000 per year
