Key Responsibilities
Administrative Support
- Manage both Partners’ calendars – booking, declining, rescheduling, and sequencing without asking permission inside agreed parameters and in coordination with legal staff
- Serve as a gatekeeper for Partners’ time, exercising sound judgment in prioritizing requests and commitments
- Draft, proofread, format, and send routine correspondence, letters, and emails at Partners’ direction
- Assist in coordinating internal meetings, including leadership team meetings, partner meetings, firm retreats, and strategic planning sessions
- Coordinate participation in external meetings, conferences, speaking engagements, and firm events
- Coordinate travel arrangements, including flights, lodging, ground transportation, and detailed itineraries
- Maintain task and follow-up lists for both Partners and provide status updates on open items
- Handle all client information, case files, and firm communications as strictly confidential, both inside and outside of the office
Social Media & Content Production Support
- This role supports content production and consistency — it does not own content strategy, brand voice, or creative/messaging direction, which stay with the Partners and the Chief Growth Officer.
- Assist in filming b-roll, photos, and video on a regular basis to keep the firm’s content pipeline consistently supplied, using firm-provided equipment — including office life, attorney commentary, and event coverage as directed. Set up, operate, and break down provided camera, lighting, and audio equipment; organize, label, back up, and deliver raw footage and photo files so they are easy to locate and use for marketing team.
- Proactively prompt and check in day-to-day on filming windows — flagging good moments to capture and confirm whether planned content has been shot — and coordinate shoot logistics and delivery timing with the Chief Growth Officer.
- Ensure no client-identifying information, case file, screen, document, or conversation is captured in any footage or photo.
Required Qualifications
- 1-3+ years of administrative experience with senior executives, business owners, or partners preferred
- Demonstrated ability to maintain strict confidentiality and exercise sound judgment with sensitive information
- Excellent organizational skills and attention to detail, with the ability to manage multiple competing priorities and deadlines supported by strong written and verbal communication skills.
- Comfortable leveraging AI tools and technology to work smarter and more efficiently
- Comfort operating basic camera and video equipment, or clear willingness to learn on provided easy to use equipment
Compensation & Benefits
- Hourly – Non-Exempt: $24 - $30/hour DOE
- Hybrid Work Model: 3 days on-site and 2-days remote
- Performance Bonus: Performance-based bonus tied to both firm and individual performance.
- 401(k) Match: Up to 4% employer match on a 5% contribution (Fidelity).
- Health Insurance: Comprehensive medical, dental, and vision; 85% of the employee premium covered by the firm, with dependent coverage available.
- Paid Time Off: 2 PTO weeks.
- Year-End Paid Week Off: Paid week between Christmas and New Year, set by the firm each January.
