Role Summary

The Operations Supervisor oversees day-to-day operations for a growing telehealth organization, supporting clinical, administrative, and cross-functional teams to ensure high-quality, efficient service delivery.


Key Responsibilities:


Team & Operations Management

  • Manage and support a multidisciplinary team of clinical and administrative staff to achieve operational goals and KPIs.
  • Drive operational excellence initiatives by improving workflows, processes, and cross-functional coordination.
  • Contribute to a culture of high performance, collaboration, and proactive problem-solving.
  • Apply knowledge of telehealth, healthcare insurance, billing, credentialing, and compliance to improve operational efficiency and revenue cycle performance.


Financial & Strategic Operations

  • Support the development of operational plans and budgets in partnership with leadership and finance.
  • Monitor key operational and financial metrics, helping to ensure compliance with healthcare, insurance, billing, and credentialing requirements.
  • Assist with the preparation of operational reports, summaries, and metrics for leadership review.
  • Collaborate with executive leadership to translate organizational strategy into executable operational plans.


Performance, Growth & Scaling

  • Develop, track, and report on KPIs to monitor performance across clinical and administrative operations.
  • Identify opportunities to improve efficiency, patient experience, and scalability of telehealth services.
  • Support growth initiatives such as new service lines, markets, or workflow improvements.


Project Management & Systems

  • Manage or support key operational projects, including new program launches, process rollouts, and system enhancements.
  • Partner with IT/tech teams and vendors to ensure operational systems are reliable, secure, and aligned with privacy and security requirements (e.g., HIPAA).
  • Use data, dashboards, and analytics tools to inform operational decisions and provide insights to leadership.


Vendor, Partner & Stakeholder Coordination

  • Maintain effective relationships with key vendors, payers, technology partners, and external stakeholders.
  • Coordinate operational aspects of B2B relationships, employer/health plan partnerships, and other strategic collaborations as needed.
  • Serve as a liaison to pharmacies, supply chain partners, and clinical teams, including external medical entities and clinicians.


Qualifications

  • Experience managing or leading teams in healthcare, telehealth, or a related clinical/administrative environment (experience with multi-site or virtual care teams is a plus).
  • 5 + years of experience in operations management, preferably in a startup, healthcare, or digital health setting.
  • Strong comfort with financial and operational metrics (e.g., forecasting support, budgeting, KPI tracking, compliance awareness).
  • Demonstrated success in process improvement, KPI management, and supporting growth or scaling initiatives.
  • Bachelor’s degree in business, health administration, or related field (advanced degree a plus). Candidates with clinical backgrounds (e.g., PMHNP, LCSW) and significant operational experience are also encouraged to apply.
  • Excellent leadership, communication, and organizational skills with a hands-on, collaborative mindset.
  • Proficiency with project management and CRM tools (Monday, Salesforce, GoHighLevel) and comfort working with data and dashboards.
  • Experience in mental health, telehealth, or digital health operations is strongly preferred.
