We are seeking a friendly, motivated, and detail-oriented Spa Coordinator to serve as the face of our medical spa and the first point of contact for our clients.

Description

Our medical spa specializes in advanced aesthetic and wellness treatments including injectables, laser hair removal, BBL photofacials, skin rejuvenation, microneedling, chemical peels, body contouring, hormone replacement therapy, medical weight loss, and more. The Spa Coordinator plays a critical role in driving membership growth, delivering an exceptional client experience, and ensuring smooth daily operations at the front desk.


Qualifications:

  • High school diploma or equivalent required; some college preferred
  • Prior front desk, customer service, sales, or hospitality experience preferred — medical spa, salon, or healthcare setting strongly preferred
  • Zenoti experience preferred; proficiency with comparable EMR/practice management or POS systems preferred.
  • Strong sales aptitude with a track record of meeting goals
  • Excellent verbal and written communication skills
  • Professional appearance and polished demeanor
  • Proficient with standard office technology (Microsoft Office, email, scheduling platforms)
  • Comfortable handling payments, memberships, and basic financial transactions
  • Ability to multitask in a fast-paced environment


Responsibilities:

  • Greet clients, manage check-in and check-out, and create a warm, professional first impression
  • Present and close membership sales; educate clients on the value of recurring memberships
  • Suggest and book pre-approved add-on services and consultations to support clinic revenue goals
  • Manage the appointment schedule, coordinate with clinical providers, and minimize gaps or overbooking
  • Answer phones, respond to client inquiries, and follow up on leads
  • Maintain accurate client records and notes in Zenoti or designated EMR
  • Process payments, packages, memberships, and refunds in line with company policy
  • Support inventory tracking, retail sales, and front desk cleanliness
  • Resolve client concerns professionally and escalate as needed
  • Contribute to a positive, team-focused clinic environment
