DESCRIPTION

The Operations Assistant keeps BELOVED's physical office, donor processing, and event logistics running smoothly, ensuring staff and visitors have what they need day to day. This role is the front line for the office - managing incoming mail and donations, coordinating vendors and events, and providing flexible administrative support as needs arise. This is a part-time role, approximately 20 hours/week, combining in-person office time with remote work (schedule to be finalized with the successful candidate), reporting to the Operations Manager.


ESSENTIAL DUTIES AND RESPONSIBILITIES

Donor & Mail Processing

  • Check the PO box - regularly, and route contents to the right person
  • Handle incoming checks and donations - deposit checks promptly, log donations, and forward deposit records to Finance for recording and reconciliation - this role deposits but does not record, to keep cash handling and bookkeeping separate
  • Donor logistics - follow up on failed or bounced donations, and distribute tax receipts and year-end donor summaries as needed

Office & Facilities Coordination 

  • Maintain the office - order and restock supplies, coordinate cleaning, pest control, landlord, or repair vendors, and complete small upkeep tasks as needed.
  • Cover the front line - answer the office phone and return calls promptly 
  • Handle inbound email - respond to general inquiries received by email
  • Provide flexible support - take on general administrative tasks as they arise 

Events & Organizational Culture

  • Coordinate logistics - board meeting dinners, community dinners, staff birthdays, staff retreats, and staff socials
  • Event assistance - support event coordination for BELOVED programs and fundraising events as needed


PRIMARY RELATIONSHIPS

This position reports directly to the Operations Manager. Internally, this role works closely with the Development and Operations teams, and with BELOVED staff more broadly on events and office needs. Externally, this role interacts occasionally with donors and responds to general inquiries from the public.


QUALIFICATIONS

  • Prior experience in an administrative, office coordinator, or donor operations role, ideally in a nonprofit or mission-driven organization
  • Comfortable handling donations and financial documents with discretion and accuracy
  • Organized and reliable, able to manage recurring tasks (mail, deposits, vendor coordination) with minimal oversight
  • Strong written communication for donor correspondence
  • Alignment with BELOVED's trauma-informed values and mission to serve survivors of sex trafficking
  • Valid driver's license preferred (PO box runs, errands, event setup)
