Job Summary

We’re seeking an enthusiastic and highly organized Executive/Personal Assistant to join our energetic team at Beefy Marketing. This position aims to support our CEO by managing email correspondence, scheduling appointments and meetings, handling ongoing personal and business errands/tasks, booking travel, and assisting with fielding requests and assigning them to the right person on the team. If you are detail-oriented, possess excellent time management skills, and have a knack for multitasking, you may be the one we're searching for. In this role, you’ll ensure the CEO’s daily operations run smoothly, enabling them to focus on strategic initiatives. Key deliverables include effective email management, seamless coordination of schedules, and efficient handling of administrative tasks.

Key Job Duties & Responsibilities Include:

Inbox Management:

  • Responding to a high volume of emails from clients and leads appropriately and in a timely manner.
  • Striving daily towards “inbox zero” for 3 or more inboxes.
  • Cull through emails from several different inboxes, including archiving non-actionable items and unsubscribing from spam, using documented processes.
  • Convert emails with action items into to-do list tasks.

Calendar Management:

  • Schedule meetings based on availability and other criteria.
  • Respond to meeting proposals taking into account current and forecasted availability, often proposing new times.
  • Evaluate the weekly and monthly calendars each day, rescheduling conflicts as needed.

To-Do List Management:

  • Convert emails into to-do list items using the provided software.
  • Monitor the list constantly for items that can be delegated.
  • Process all possible action items.

General Administrative Support:

  • Manages ongoing personal and business errands/tasks as required.
  • Books travel arrangements including flights, accommodations, and transportation.
  • Assists with fielding requests from the team and assigns tasks to the appropriate person.
  • Provides general administrative support including filing, document preparation, and data entry.
  • Ensures confidentiality and discretion when handling sensitive information.
  • Prepares meeting agendas, minutes, and follow-up actions.
  • Communicates effectively with internal and external stakeholders on behalf of the CEO.
  • Maintains an organized office environment and manages office supplies.
  • All other duties as assigned.

  • HS Diploma or GED required; an associate degree is preferred.
  • Proven experience in an executive or personal assistant role.
  • Ability to maintain confidentiality and handle sensitive information discreetly.
