Job Summary:

The Practice Support Assistant/Receptionist is responsible for front desk operations in a medical office, including answering phones, greeting patients, scheduling, registration, insurance verification, collecting payments, medical record management, and providing general administrative support. This role requires a professional demeanor, strong organizational skills, and a commitment to providing excellent customer service in a clinical environment.


Key Responsibilities:

  • Greet patients and visitors; provide excellent customer service.
  • Answer telephones, take messages, route calls, and provide information per service standards.
  • Register patients and confirm demographic and insurance information.
  • Determine co-payments and collect payments (current and past due).
  • Schedule and coordinate patient appointments, tests, and referrals.
  • Maintain patient medical records and ensure confidentiality of all health information.
  • Enter charges and payments accurately into the practice management system.
  • Perform general clerical duties including copying, filing, faxing, sorting mail, and ordering supplies.
  • Prepare and retrieve patient files and perform patient check-in.
  • Format, type, and proofread correspondence and reports.
  • Maintain provider schedules (appointments, meetings, cancellations, add-ons).
  • Prepare and verify daily deposit and complete deposit verification forms.
  • Maintain a clean and safe work environment and report any equipment malfunctions.
  • Participate in special projects and complete tasks as assigned by management.
  • Stay current with required training and department-specific education.
  • Demonstrate hospital safety and infection control practices.
  • Ensure respectful and professional interactions with patients, families, staff, and coworkers.

Qualifications:

  • Education: High School Diploma or GED required.
  • Experience: 3–6 months of related experience required; prior medical office experience and familiarity with insurance highly preferred.
  • Skills & Competencies:
  • Keyboarding and computer skills
  • Prior experience with EMR/EHR systems (preferred)
  • Accurate filing and strong organizational skills
  • Excellent verbal and written communication skills
  • Professional demeanor and strong customer service orientation
  • Ability to prioritize tasks and manage time effectively
  • Excellent basic math skills
  • Proficient with basic office equipment (copiers, fax machines, etc.)
  • Ability to maintain strict confidentiality and demonstrate integrity
  • Team-oriented and able to work effectively with others

Physical Requirements:

  • Regular walking, standing, stooping, bending, and sitting
  • Some light lifting
  • Ability to work in a fast-paced office environment

Preferred Qualifications:

  • Experience handling insurance verification and co-pay collection
  • Familiarity with scheduling software and EHR platforms
  • Demonstrated ability to manage a multi-line phone system


Salary

$14 - $19 per hour
