Job Summary:
The Practice Support Assistant/Receptionist is responsible for front desk operations in a medical office, including answering phones, greeting patients, scheduling, registration, insurance verification, collecting payments, medical record management, and providing general administrative support. This role requires a professional demeanor, strong organizational skills, and a commitment to providing excellent customer service in a clinical environment.
Key Responsibilities:
- Greet patients and visitors; provide excellent customer service.
- Answer telephones, take messages, route calls, and provide information per service standards.
- Register patients and confirm demographic and insurance information.
- Determine co-payments and collect payments (current and past due).
- Schedule and coordinate patient appointments, tests, and referrals.
- Maintain patient medical records and ensure confidentiality of all health information.
- Enter charges and payments accurately into the practice management system.
- Perform general clerical duties including copying, filing, faxing, sorting mail, and ordering supplies.
- Prepare and retrieve patient files and perform patient check-in.
- Format, type, and proofread correspondence and reports.
- Maintain provider schedules (appointments, meetings, cancellations, add-ons).
- Prepare and verify daily deposit and complete deposit verification forms.
- Maintain a clean and safe work environment and report any equipment malfunctions.
- Participate in special projects and complete tasks as assigned by management.
- Stay current with required training and department-specific education.
- Demonstrate hospital safety and infection control practices.
- Ensure respectful and professional interactions with patients, families, staff, and coworkers.
Qualifications:
- Education: High School Diploma or GED required.
- Experience: 3–6 months of related experience required; prior medical office experience and familiarity with insurance highly preferred.
- Skills & Competencies:
- Keyboarding and computer skills
- Prior experience with EMR/EHR systems (preferred)
- Accurate filing and strong organizational skills
- Excellent verbal and written communication skills
- Professional demeanor and strong customer service orientation
- Ability to prioritize tasks and manage time effectively
- Excellent basic math skills
- Proficient with basic office equipment (copiers, fax machines, etc.)
- Ability to maintain strict confidentiality and demonstrate integrity
- Team-oriented and able to work effectively with others
Physical Requirements:
